Projektbeschreibung

Co-ordination of manual documents forms and records. Audit of the documents and files to ensure records are up to date and compliant. Build relationships with Managed Service Provider to enhance Hiring Managers experience of the service.

Ensure that all purchase orders have been raised by the HM and are validate the correct procedure, govern process and give advice on amendments where necessary, chase the GRN process as soon as CSV file has been received.

Process all documentation received in the UK shared service in accordance with prescribed matrices within agreed timescales To check requisitions from the Hiring Managers that they match the requirements and are compliant, if not compliant to be returned to the appropriate HM with attached guidance notes.

Collects, consolidates and retrieves all electronic and manual documents ensuring all documents are up to date and complete. Share with the appropriate teams where necessary (redeployment/recruitment teams)

Liaise with Managed Service Provider to upload requirements onto the vendor management system Point of contact for any discrepancy with vacancy data / documents and responsible to find the source of discrepancy and work with appropriate teams to resolve.

Ensure approval has been gained from the HM to expand purchase orders in the instance of overtime and expenses Support the Finance SSC with data and retrieval of the FTP`s Routine monitoring of all pay rates against rate cards to ensure correct fee`s have been applied and escalate to Contracts & Temporary Manager when this has been breached.

Our ideal candidate would have the following experience:

- Experience of handling, sorting and maintaining large volumes of employee files/ employee data and documents in an large organisation
- Experience of using a variety of IT systems
- Must have worked within a fast paced environment.
- Knowledge & experience of records management and information legislation
- Good knowledge of working in an electronic environment essential
- Analytical and Organisational Skills
- Exceedingly well organized, flexible and someone who likes to work under challenges and pressure
- Proactive, resourceful and efficient, with a high level of professionalism and confidentiality - Strong knowledge of MS Office, including Word, Excel, and Outlook
- Knowledge of SAP would be desired but not essential
- Ability to work with ambiguity and minimum instructions
- Ability to analyse and break complex problems into smaller manageable parts
- Excellent attention to detail, prioritisation and organisational skills
- Articulate, confident and fluent communicator with a high level of oral and written English
- A highly customer-orientated approach, committed to achieving excellent levels of customer service.
- A creative `can-do` attitude and prepared to meet new challenges
