MY DUTIES:

-Pro-actively plans for future CME Customer Engagement projects (national, regional/Cluster and international level) in close alignment with the appropriate (internal and external) stakeholders for the Oncology Business Unit (OBU)
-Supports the Business Unit through preparation and delivery of Novartis Oncology Switzerland (NOS) international congress and/or national presence, including NOS and customer participation, congress registration, NOS lounge setup, dinners and all travel arrangements
-Coordinate external providers and internal participation, and serve as single point of contact for event-related queries from internal and external customers and suppliers, and provide travel logistics as required
-Defines, plans and implements new CME formats for the OBU in close alignment with relevant stakeholders (Business Franchises and Medical Affairs; license agreements, location and registration process, coordination with external providers)
-Responsible for project related operational tasks, eg OLT Newsletters in collaboration with other support functions, customizing reports by collecting data from variable sources, Townhall slide support, contract archiving oversight and general process augmentation, regular organizational temperature checks (Motivational Analysis)
-Provides administrative support to the Oncology General Manager and the extended Oncology Leadership Team (meeting set ups and invitations, calendar update and coordination, team events, organize offsite meetings with social events, organizes trips and books flights), prepares agenda, sends invitation for monthly meetings, attends these meetings and writes minutes
-Supports both the Rare and Cell & Gene Franchise with coordination and execution of the Tactical plan & Budget (e.g. Purchase Orders, advertising campaign, coordination of various projects together with agencies and suppliers)
-Ensures material shipment to warehouse and maintain inventory records, provides administrative support (congresses, meetings, Advisory Boards and contracts)
-Responsible for delivering monthly updated management and / or commercial team information
-Ensures all congresses and events are executed in strict accordance with internal and external guidelines and also ensures submission of events to P3 process tool
-Follows up on existing records and records new files
-Sets up records retention schedules, follow up records and update organizational charts, initiates onboarding of new team members

MY QUALIFICATIONS:

-Bachelor in business degree or equivalent commercial education
-German and English (fluent spoken and written)
-Experience as Assistant / Administrative support (ideally in Marketing/Sales or Management Environment)
-Experience in an international matrix organization
-Prior experience in event and project management
-Experience in an international matrix-organisation is required
-At ease with Outlook, Word, Excel, PowerPoint
-Excellent Communication skills
-Customer and quality focussed team player with demonstrated ability to learn quickly and is capable of undertaking new tasks and new projects with relative autonomy and minimal supervision
