Senior Administrative Assistant 60% (m/f)

IHRE AUFGABEN:
-Perform administrative duties, which may involve exposure to highly confidential information
-Manage the schedules of those supported; schedule meetings and make travel arrangements for department members, visitors, partners and vendors as necessary
-Accountable for meeting planning and organization of Advisory Board; schedule attendees, book conference rooms, arrange catering, prepare presentations, compile notebooks, meeting materials, handouts, etc.
-Work closely with compliance team to ensure that the arrangements are in compliance the company's policy.
-Coordinate the legal approval of Statement of Work from vendors
-Manage purchase orders and processes accounts payable invoices
-Complete expense reports for senior members using the provided electronic system
-Prepare and coordinate legalization of pricing certificates
-Attend department meetings, take and distribute meeting minutes
-Provide telephone support; assuming responsibility for copying, faxing, and developing and maintaining filing systems
-Provide back-up for other Administrative Assistants and Executive Assistants as required
IHRE QUALIFIKATIONEN:
-Vocational education (GCSE) at minimum, Matura (‘A’) level preferred
-Fluent in speaking and writing German and English language
-Profound experience in a similar position
-Extensive working knowledge of MS Word, MS Outlook (or equivalent)
-Advanced knowledge of MS Excel and PowerPoint (or equivalent)
-Experience with purchase orders and accounts management systems/software
-Experience with expense reporting systems/software
-Strong attention to detail in composing materials, establishing priorities, scheduling meeting and arrange travel itineraries
