Our innovative approach to delivering our services invites over 1000 delegates each year ranging from administrators to permanent secretaries and ministers from Government and non-Governmental Ministries and Central Banks from over 70 countries around the world to study on our Open Training Programmes.

The Fetter Lane venue also houses a number of other Capita businesses which require reception duties.

WE ARE CURRENTLY RECRUITING FOR AN RECEPTIONIST IN OUR LONDON OFFICE.

KEY OBJECTIVES:

Provide a full reception facility to all resident Capita business units, Deliver a professional front-of-house and welfare service to all visitors, Manage and administer all internal meeting room and venue provision, Support the Facilities Manager in reporting building issues

RESPONSIBILITIES INCLUDE:

RECEPTION

* Welcome, validate and manage the flow of visitors to/from the premises

* Respond efficiently to all enquiries in person, by telephone, e-mail, post and fax

* Manage all incoming and outgoing post to/from resident Capita business units; Royal Mail, PPI, special deliveries, cost centre cross charging

* Liaise with service suppliers in line with key stakeholder requests

FRONT-OF-HOUSE AND WELFARE

* Be an ambassador of the business at all times, promoting professional and culturally sensitive brand image

* Provide professional and reliable support to Director of Studies and Trainers throughout delivery of training courses

VENUE COORDINATION

* Understand key stakeholder training and venue needs and provide the required level of service

* Manage the internal venue booking system to ensure that rooms are fully utilised and resourced

* Forecast potential overflow situations and report accordingly

* Provide management information regarding venue room bookings for month end cross charging purposes

* Set up and arrange rooms to suit purpose of use

* Monitor all technology used to support programme deliver

ESSENTIAL SKILLS

* Excellent verbal & written communication skills

* Good working knowledge of Microsoft Office applications

* Strong customer service skills

* Training or conference and/or event management experience

* Awareness of costs
