PERSONAL ASSISTANT

Personal Assistant required for a 3 month contract based in Northampton, for a large financial services client.

ROLE PURPOSE

The role holder is responsible for providing wide ranging support to their Manager

KEY RESPONSIBILITIES

Responsibilities include the following in what is a very varied role:

Management Support

- Managing diaries for specified management.
- This includes arranging meetings, optimising time by ensuring travel is minimised and ensuring maximum is made of any visit, and pulling together necessary materials and preparation for meetings on and off site.
- Ensuring that holiday and sickness records for the associated business areas are up to date and accurate
- Arrange travel, producing Business Case, obtaining Sanction and co-ordinating trains/flights/cars/hotels, planning itineraries, ordering foreign currency, visas etc as needed in line with Group Policy, on behalf of departmental staff
- Central point of contact for organisation chart updates, floor plans on behalf of the department

Admin Team Support

- Provide support to other teams and PA's when required
- Preparation of general correspondence including creating ad hoc letters and mail merges, confidential reports and personnel documents and spread sheets
- Ensuring that information and files are stored in an organised manner and can be provided when specific documentation is needed
- Assisting specified management in the organisation, distribution and prioritisation of workload and co-ordinating incoming queries and correspondence

KNOWLEDGE AND EXPERTISE

Essential

- High level of computer literacy - Word and Excel
- Typing skills
- Strong verbal reasoning skills
- Ability to prioritise own workload

Preferred

- High level of natural intelligence and resourcefulness
- PowerPoint

Required Experience

- Previous PA/Secretarial experience working at a senior level
- Good knowledge relating to Manager/Team's area of responsibility in order to deal with queries and undertake work on their behalf
- Thorough knowledge of Bank typing, standard/style and instructions relating to equipment
- Knowledge of functions/structures of other sections as an aid when researching information/referring/resolving queries and to ensure all necessary areas are advised of relevant information
- Previous secretarial experience.
- Previous Personal Assistant experience desirable.
