INTERNAL ONLY Primary Job Responsibilities/Functions:

Day to day Accountability Oversight of Investment Process/Functions:
The Director of Investment Operations is accountable for ensuring setup and receipt of all external correspondence from Title Companies, closing attorney, lending entity, and/or real estate agent meet internal controls and measures.

Utilizing all management tools, the Director of Investment Operations will be responsible for transaction management reviewing all responsible client transactions in process on a daily basis. Critical processes include: review of legally required documentation, coordination with third parties, system set-up of the transaction and application quality control.

Ensuring that personalized service is provided to clients by consistently executing phone standardized procedures and internal instructions on behalf of clients and third parties. Oversight of outbound calls initial contact, funding and settlements for investments. Follow up and drive to completion all client and third party transactions keeping the necessary parties informed throughout process. Confirm any information in question prior to communication to client or other parties both internally and externally.

The position exploits call center tools to answer client questions, conveying accurate and thorough information with confidence. Further it must ensure that all pertinent client communication is recorded within workflow systems, trust systems and other applications as designated by leadership team. Responsibilities include working closely with Investment processors to accomplish common goals including but not limited to investment deficiencies, clarity or elaboration of complex investment scenarios, special instructions required for processing and achieving transaction service levels.

Ensure that customer service metrics are within company standards and executes action plans where metrics are lagging.

Attend all training sessions deemed necessary by leadership team and participate providing feedback and work process updates. Conduct, attend and participate in all meetings appropriate to success of the organization and department.

Ensure all company policies and procedures are being adhered to and kept up to date as well as perform and complete special projects as needed.

Required Qualifications:
10+ years of work experience in financial processing environment. Trust or Investment Operations preferred.
Basic understanding of title industry and real estate
Manager/Director experience managing work group greater than 50 employees
Ability to navigate various software, databases and websites
Excellent written and verbal communication
Ability to work independently and in a team environment
BS degree required: MBA preferred
