BRUSSELS

CONTRACT: 4 MONTHS +

COMPETITIVE DAILY RATES

BACKGROUND:

The management of various bonuses is now done manually with multiple stakeholders; which involves a lot of risks and loss of time.
-

Each HR Admin or business people can send requests for payment of various bonuses to the payroll team.
-

All new requests and corrections are sent in different formats such as pdf, email, word document, etc.
-

This requires that someone from the team Payroll records data manually in SAP HR.
-

Sometimes a data entry is made in duplicate following the various channels that send the same information.
-

There is a need to automate the process and describe the roles and responsibilities of each stakeholder.

DESCRIPTION OF THE MISSION:

-

By business unit identify the type of premium and how the various premiums are generated (manually or by an export from another database) and passed (pdf, excel, word, etc.)
-

By business unit identify different approvers

To optimize and simplify the work a central application should be established and used by the applicant for the premium (business) and HR Admin cells.

Establishment of a central application
-

Ensure that the double encoding becomes impossible and that responsibility over the quality of datas either at the end user
-

Establishment of a view overlooking the situation per worker/per department so that the business or HR Admins cells can track the status of requests
-

Linking supporting each request by using "document management system " so that the accounts can access all necessary information without having to Corporate HR
-

Establishment of an approval workflow

Establishment of "business logic " to replace the manual work done by the team payroll (Automatic entry in infotype 0015)

REPORTING:

Reporting on developments related to the management of various bonuses
- Reporting for business
- Reporting for payroll
- Reporting to the HR cell Admins
- Reporting for Accounting

KPI reporting Developments

RESPONSIBILITIES:

The successful candidate must:

-

Ensure the full analysis of the existing situation (systems currently in place) and the solution adopted to implement ( ensure exchanges with the business, HR and Payroll cells Admins team ... . )

Ensure alignment with legal and contractual rules in force on the STIB
-

Writing technical specifications and processes applicable to all situations
-

Coordinate all essential to the smooth progress of the work and the project in its limited time and resources.
-

Perform relay and coordination with internal IT team responsible for development
-

Write test scenarios and testing
-

Coordinate with the UAT business
-

Ensure communication & change
-

Provide training for Key Users
-

Prepare documentation end Users
-

Hold the steering

DEMAND PROFILE:

Thorough knowledge and practice and particularly SAP HR ESS/MSS/Workflow is an absolute necessity.

-

Having multiple experiences relevant HR project management in connection with pre- pay and ESS/MSS/Workflow (minimum 4 years' experience)
-

An IT/ICT basic training to better understand the needs and complexities is a plus
-

Experience in writing technical specifications

Knowledge of the Belgian second language (French or Dutch) is a plus

LINKS:

The consultant reports directly to the Manager of the "Application Management" team.

He/she collaborates continuously with team members ' Payroll ' and ' Application Management'.

He/she maintains regular contact throughout the project with various company departments and different types of partners (business, cell HR Admin, IT teams responsible for development ).
