My client, an IT services provider, are looking for a Bid Manager to join their team on a contract basis. Due to the urgency and nature of the role, candidates are requested to be currently SC cleared or willing to undergo clearance.

DAY TO DAY RESPONSIBILITIES:

The Bid Manager is responsible for the timely delivery of bids assigned to them by the Bid Team Manager and/or Bid Lead, taking ownership of the whole life cycle from sign-on, bid production through to HP governance and issue to HP Commercial or the Customer. Any re-work resulting from Customer reviews or issue of contract amendment will also be undertaken by the Bid Manager

DUTIES SPECIFIC TO THE ROLE

- Ensuring bids are produced in accordance with the HP standard practice.
- Supporting Bid sign-on process (where necessary)
- Ensuring that the Customer Requirements (Proforma) are well understood prior to start-up.
- Ensuring appropriate WBS creation for booking codes.
- Producing and maintaining bid submission schedules.
- Planning the resources required to support bid production and liaising with the relevant parties to secure these resources.
- Liaising with the relevant stakeholders throughout bid production.
- Collating information from different sources to ensure that the bid is accurate, consistent and coherent.
- Ensuring bids meet evaluation criteria, especially value for money (VfM) in both technical and commercial submissions.
- Ensuring bids are produced in accordance with the priorities set by the Bid Team Manager and/or Bid Lead and issued in a timely manner.
- Ensuring that there is sign-off prior to entering HP governance.
- Ensuring that Proposals have the relevant assurance and governance approvals prior to issue to the Customer via the Commercial Department.
- Reporting bid progress to the Bid Team Manager and/or Bid Lead.
- Producing bid documentation and appropriate cost models in accordance with the defined bid process and HP standard practices.
- Where requested, developing customer presentations, expanding on selling messages , presenting to customer.
- Updating the Bid Repository with up-to-date progress and status information.
- Discussing resource demand and requirements with impacted Capabilities or Service Lines. Obtaining agreement in principle from the resource provider(s) prior to assurance reviews.
- Preparing for assurance and governance reviews and arranging meetings with the relevant stakeholders to ensure that all required actions are addressed prior to governance.
- Managing the re-work of any bid following a customer review and/or contract amendment.
- Exploiting guidance and expertise from Bid Team members.

FINANCIAL RESPONSIBILITIES:

Monitor and manage any assigned bid budget and escalate any issues, should they arise. The Bid Manager is also responsible for ensuring that any bid preparation costs are commensurate with those agreed with the Team Manager, Team Leader or Account Manager, especially where bid preparation costs are recovered from the customer..

STAFF RESPONSIBILITIES:
The Bid Manager is responsible for managing the bid team. The team could comprise of resources from the delivery area, sales organisation and/or the Bid Team.
Communications:

PRINCIPAL OUTPUTS:
Bid documentation including, but not limited to, cover letters, proposals, bid schedules, finance models.
Update Bid Repository with up-to-date progress
Status updates to the Bid Team Manager, Bid Lead and where appropriate, other members of the Bid Team.
Baselined schedules and cost models prior to bid issue.
Creation of bid baselines (at issue, re-issue and contract award)
