Administrator - 3 month Temporary Contract - 15th December 2014 start date

An exciting opportunity has arisen for a proactive site based administrator/receptionist/secretary to join our team for a well-known construction company in Cheswick Village, Bristol on a 3 month contract. The successful administrator is to support and provide assistance to the project team. To ensure that tasks are prioritised effectively and completed in line with deadlines. To support and liaise with other offices within the business, both site based and regional, to ensure the smooth running of the Project.

The role/duties:

* Answering phone & taking messages
* Organising management diaries
* Filing electronically
* Paper filing
* Managing day file
* Typing minutes (project meeting, weekly coordination, MTR, Monthly H&S meeting, Monthly H&S consultation meeting, s/c progress meeting)
* Typing design team meeting minutes
* Typing letters
* Typing memos
* Maintaining and ordering stationary.
* Ordering and creating site signage
* Meeting and greeting visitors, new starters.
* Making refreshments for meetings and throughout meeting
* Filing daily and weekly subcontractor paperwork
* Data inputting SWMP
* Updating weekly logistic plans to site managers comments
* Printing and distributing site correspondence/memos.
* Printing and updating A3 drawing files.
* Managing diaries
* Monthly newsletter and distribution to residents
* Copying CSCS cards and other certificates for new starters whilst being inducted.
* Updating site personnel records.
* Weekly check of drawing register.
* Scanning and uploading daily diaries from Site Managers
* Scan and send method statement approvals.
* Dealing with IT requests and chasing up etc.
* Processing material requisitions as directed.
* Keeping diary of meeting room.
* Collating and sending timesheets.
* Coordinating site training needs.

SKILLS REQUIRED (ESSENTIAL):

- Previous secretarial and administrative experience.
- Working knowledge of business procedures, letter and report formats and an ability to type 65-70 wpm accurately.
- Experience of working within a busy office environment
- Competent IT User (including Microsoft Word, Excel, Outlook)

DESIRABLE:

- Previous experience within the construction/civil engineering industry
