TOP SKILLS YOU SHOULD POSSESS:
- Very high proficiency in Microsoft Office (Word, PowerPoint, Excel and Outlook)
WHAT YOU'LL BE DOING:
- Coordinate and manage calendars
- Coordinate and schedule meetings and conference calls both on-site and off-site
- Make travel arrangements, including visas, for both on-site and global personnel
- Prepare and review expense reports prior to approval by management
- Process nondisclosure agreements
- Manage on-site business office logistics, such as stationery, printers/copiers, maintenance work orders, office moves
- Submit and manage purchase orders in the procurement system
- Prepare and edit presentations in PowerPoint
- Order, ship and track literature and packages
- Update product info, marketing documents, templates, etc., and post to internal databases/external website
- Update monthly reports for integrated operations in several formats
- Develop and run reports in Salesforce.com
WHAT YOU NEED TO BRING TO THE TABLE:
- At least five (5) years of experience as an administrative assistant
- Excellent organizational skills
- Able to set priorities and self-manage multiple tasks with minimal supervision
- Able to research and locate resources and services within the company
- Strong communication skills - both written and oral
- Manage confidential information
BONUS POINTS! OTHERWISE KNOWN AS PREFERRED QUALIFICATIONS:
- Experience with Lotus Notes and Salesforce.com - preferred
- Experience with Concur Travel and Expense (CT&E), MyAccess, eWorkPlace, MyInfo - is preferred
