One of our large Investment Banking clients is looking for an experienced Administration Assistant within the Banking sector
Responsibilities
Administrative duties involving extensive travel itineraries, arranging visas, booking accommodation/car hire/currency and processing all expenses and invoice claims using on line systems.
Provide support to visiting employees from other CS offices.
Process Department Work, to oversee and review Archiving Project
Arranging Global Town Halls and Workshops via video and telephone conferencing. Booking meeting rooms Book senior level meetings and co-ordinate
Extensive multiple diary management, vet calls/emails and plan schedules.
Cover for Access Control manager for all new applications for the department, thus approving or denying using My Access. Approver for shared drives in GARS
Entering SOW into MyShop - On boarding external consultants, from Security, desk/IT set up. Wireless codes, PAN Connections and daily tasks.
Ordering stationery and maintaining cupboards via MyShop
Ordering bulk of smart cards, Smartcard readers and headsets for the department.
Departmental moves, on boarding new joiners with desk location, IT, phone, chair. Reporting findings to occupancy on a monthly basis
Maintaining travel and expenses planner.
dealing with all AD-hoc admin/projects across whole department
Processing invoices for payment through MyShop
giving out post on a daily basis
Essential
Administration experience
Banking Industry experienced
Excellent communication skills
Good Team Player
