One ADMINISTRATIVE ASSISTANT is needed for a contract opportunity with an international IT support company in Valencia, Spain. Working alongside an existing Admin person, you will maintain the day to day operations of the office in an effective and efficient way. Interested candidates must be fluently bilingual in Spanish and English.

Administrative Assistant duties will include:

. To provide administrative support to ensure that the day to day operations of the office are maintained
. Maintain attendance records
. Preparing, editing correspondence, memorandums, reports and presentations
. Organising and maintaining files and records
. Planning and scheduling meetings and appointments
. Preparing requests for procurement (RPRs) for service, equipment and upon instructions of the Program Manager or procurement in Geneva to contact vendors on billing matters;
. To provide induction training on administrative procedures and tools to new staff or consultants upon arrival
. Assist in the planning, organisation and management of the Client's training plan
. Assist the Program Manager in Liaising with personnel, payroll (Overtime and Night Differential) and other related issues with HR (Induction)
. Answer the phone and provide generic information upon request from customers
. Maintain office supplies for staff and consultants in Valencia
. Coordinate exchange of pouch, courier and regular mail between client's international Offices
. Perform any administrative duties based on existing SOPs
. Perform any other duties as required.

Required Admin experience should include:

. 3 years or more of experience in providing administrative support.
. Ability to maintain a high level of accuracy, confidentiality concerning financial and employee files
. Knowledge of Office administration and bookkeeping procedures
. Good knowledge of productivity tools such as Microsoft Office
. Good knowledge of office computing equipment as a tool
. Excellent interpersonal skills
. Team building skills
. Effective verbal and listening communication skills
. Attention to detail and high level of accuracy
. Very effective organisational skills
. Effective written communications skills
. Stress and time management skills
. Ability to speak the local Spanish language
. Excellent English language skills
