Job Purpose & Context
The role will provide administrative support to the on-site Managed Service team working with a major metropolitan police force. The successful candidate shall be expected to undertake their duties using their own initiative, and proactively engage with their colleagues and the customer.
The role requires the successful candidate to be security cleared to NPPV & SC level.
Outline of Routine Tasks/Responsibilities
* Provide administrative support to the Contract Manager.
* Tracking spares and repairs of Handheld and Vehicle Radios.
* Booking in installation and repair work for the Vehicle engineers.
* Order processing for both customer orders and local team requirements, under the authority of the Contract Manager.
* Ensure stocks of 'consumable' items are maintained.
* Notify faulty hardware to technical colleagues so they can take appropriate action (e.g. faulty batteries, earpieces etc).
* Develop and improve local business administration processes to improve performance and reporting.
* Provide a 'front desk' point of contact for the customer and other visitors.
* Deal with customer queries and, where necessary, escalate to relevant team members.
* Ensure all customer equipment is booked in and out using the appropriate systems, for the following (though not exclusive) items:
v Airwave Terminals
v FM Alarms
v Radio Ancillaries
v Other personal issue police equipment
* Ensure transaction records can demonstrate a full audit trail for security purposes.
* Use company and customer IS systems as appropriate in support of audit and reporting requirements for both management and customer. This includes the use of both company and customer IT systems.
* Provide cover for the basic responsibilities for colleagues in the event of absence.
* Undertake other tasks in support of the business under the direction of either the Contract Manager.

Other Information

We require an individual who can demonstrate strong administrative skills who will use and improve existing processes. The successful candidate should be able to absorb other administrative functions as required in order to support business growth and changes to customer requirements.

* The individual should be confident & professional when interacting with customers and colleagues, both on the telephone and in person.
* The person needs to understand the importance of accountability/audit trails due to the nature of the customer and the work being undertaken.
* This role will be expected to support the Contract Manager in producing figures for monthly reports as required, liaising with colleagues to collate them.
* Invoice processing on completed orders, and maintenance of filing records from quote through to order fulfilment, and advising the Contract Manager on order completion.
* The successful candidate should be comfortable working under pressure in a very busy, customer focused environment.
