TEAM ASSISTANT

Are you a Team Assistant with 2 -5 years prior work experience in administration, preferably in the international development or health sector, or related field of work? Was this experience gained within a multinational and multicultural environment and are you looking for an exciting new opportunity within a non-governmental organisation (NGO)? If so, please have a look at the following details:

Experis IT Switzerland is currently on the search for a Team Assistant to join one of their clients, an NGO, based in Geneva.

YOUR ROLE:

To provide operational and administrative support to Donor relations team and department

The role holder is expected to maintain exceptional levels of professionalism, efficiency and discretion whilst demonstrating strong communication skills and judgement. The role holder will work closely and collaboratively with internal and external stakeholders dealing with a wide range of highly sensitive issues within extremely tight deadlines and demanding situations.

KEY RESPONSIBILITIES

You will:

- Be responsible for time schedule and management;
- Raise and follow up procurement requests for team missions, including booking with the travel agency, raising Procurement order
- Catering services for meetings organised Department
- Liaise with the reception for welcoming visitors/guest
- Provide support to team members of the team in organizing visits (booking of meetings rooms, organising an agenda for the visit based on guidance provided by the member of the team who is facilitating the visit and should prepare the content and interactions during the meetings)
- Support the team in raising RFP (Request for Procurement) and (Request for Quotation) for hiring of consultants and suppliers (integration into preferred suppliers lists, payment, easy cash card, expense claim
- Invoice follow up
- Support team members in consolidating internal inputs for reports and data gathering
- Ensure timely update of Department sharepoint by ensuring uploading key documents provided by Team member
- Ensuring the formatting of correspondence to be submitted to the External Division Front Office and to the Executive Director Office

TO DELIVER THE REQUIRED RESULTS, IT'S NECESSARY THAT YOU HAVE:

- Between 2 to 5 years of prior work experience in administration, preferably in the international development or health sector, or related field of work
- Proven efficiency in any of the following domains: service provision, planning, project management;
- A high level of planning and organization skills;
- Reliable, innovative, and service-oriented team member with strong interpersonal skills;
- Excellent written and oral communication skills both with internal and external audiences;
- Strong writing, editing and proof-reading skills;
- Ability to handle multiple tasks, work under pressure and meet deadlines.
- FLUENCY IN BOTH ENGLISH AND FRENCH
