IHRE AUFGABEN:
-Manage purchase orders and process accounts payable invoices
-Responsible for vendor management (set up and manage on online platform)
-Manage contracts (mainly with healthcare practitioners)
-Accountable for meeting planning and organisation; schedule attendees, book conference rooms, arrange catering, prepare presentations, compile notebooks, meeting materials, handouts etc.
-Perform administrative duties, which may involve exposure to highly confidential information
-Manage the schedules of those supported; schedule meetings and make travel arrangements for department members, visitors, partners and vendors as necessary
-Prepare correspondence, spreadsheet reports and presentations as directed
-Attend department meetings, take and distribute meeting minutes
-Provide telephone support; assume responsibility for copying, faxing, and developing and maintaining filing systems
-Complete expense reports for senior members, using the provided electronic system
IHRE QUALIFIKATIONEN:
-Matura education preferred
-Fluency in English, in both verbal and written form (German and French skills are of advantage)
-Strong general administrative skills e.g. travel, diary etc
. -Extensive working knowledge of MS Office
-Experience with purchase orders and accounts management systems/software (preferably SAP)
-Experience with expense reporting systems/software
-Ability to work in a fast paced environment with demonstrated ability to simultaneously manage multiple competing tasks and demands
