My client, an energy trading company based in ABERDEEN, requires an UPSTREAM RECRUITMENT COORDINATOR to be responsible for coordinating and supporting recruitment activity within assigned Function/Discipline/Region recruitment team. The Coordinator role requires excellent administrative and organisational skills to ensure the recruitment process is timely and efficient.

KNOWLEDGE/SKILL REQUIREMENTS:

- Scheduling interviews and or complex diary management
- Multi-tasking to meet tight deadlines
- Communicating effectively with multiple stakeholders across different geographies
- Ability to handle confidential information in a discreet and professional manner

PREVIOUS WORK EXPERIENCE

- Working within a large complex global organisation (preferably Oilinterview scheduling, candidate travel, offer, pre-employment checks and 1st day logistics.
- Manage end to end process for all Managed Moves and Transfers/Non-Posted Moves for the assigned regional/functional group, ensuring appropriate offer and onboarding process is followed.
- Ensure that all steps throughout the agreed recruitment process are systematically followed and tracked and that corresponding HR statuses are updated in a timely manner in the Applicant Tracking System (ATS).
- Logistics and administration of interviews, which could include videoconferencing, assessment days, and other events for candidates and the hiring teams.
- Ensure accurate completion of Verbal Offer Form (US) and generation of offer documentation, and timely completion of the SAP eform.
- Monitor and track pre-employment processes, intervening with business facing HR team/International Mobility and/or candidate to resolve any concerns or delays. Send out welcome letter (US) and close requisitions once candidate(s) have been hired.
- Responsible for maintaining accurate job files. Collect and audit process and selection documentation, and submit to storage vendor in accordance with document retention guidelines.
- Ensure candidates and key stakeholders are proactively kept up-to-date throughout each stage of the process.
- Work closely with other local/domestic and cross-country recruitment teams to hand off and receive candidates at offer stage, ensuring country-specific offer processes are completed accurately.
- Accountable for data integrity in line with agreed performance criteria, including timely and accurate update of applicant tracking systems
- Work with recruiters, business-facing HR, line managers, and the company's People Service Centre to ensure new hire information is set up correctly in SAP.
- Provide back-up support for other members of the Resourcing Team including, concierge duties, events logistics/planning as required.
- Other projects and duties as assigned by Recruitment Manager/Recruitment Director.
- Responsible for ensuring quality candidate experience throughout the process in-line with the company's Candidate Charter.
- Ensure adherence to the company's values and policies, as well as applicable

local and statutory employment legislation.
