Duties determine their needs in a professional manner. Maintain visitor's registers. Issue passes and deliver Health & Safety brief.

Check ID badges of all staff entering through reception.

Ability to work with the FM team and on-site contractors as well as internal customers.

To understand Fire & Safety procedures, taking responsibility for any visitors in reception area and adjacent meeting rooms

Answer internal/external calls to a professional, timely and efficient manner

Direct calls to appropriate staff / department

Take detailed and accurate messages and pass to the relevant contact without delay

Central Reservations

Book meeting rooms by phone and email

Organise catering and audio visual equipment for meetings

Liaise with hospitality staff, chefs and management with updates on events

Helpdesk:

Reporting and recording of all faults, complaints and queries from building users.

Attend to Helpdesk MB and reply to all enquiries regularly

Co-ordinating Serco FM Helpdesk to audit work already completed as well as recording customer satisfaction with the tasks carried out and the service supplied

General:

Complete CBT as required. (Code of Conduct, Data Protection, Health & Safety, Telephone techniques, Fire Safety and Manual Handling)

Maintain continuous improvement on a professional and personal basis

Follow company, client and statutory policy when dealing with customer comments or complaints.

Comply with Environmental/Health & Safety / Fire Regulations. Report all hazards and faults to management

Previous reception/ telephony experience within a similar style environment

Must have a good knowledge of Excel, MS Office & power point.

Good working knowledge of FM Easy and Agility software, desirable but not essential.

Ensure that personal presentation, communication and behaviours are of the highest standards.
