JOB TITLE: RECEPTIONIST (12 MONTH CONTRACT)

LOCATION: MISSISSAUGA

We are currently looking for a Receptionist to be part of a dynamic team engaged in elevating the department and company to the next level. The incumbent will be forward looking and thrive in a culture of continuous improvement.

Reporting directly to the Customer Care Manager, the Receptionist will be the first point of contact for all visitors and customers arriving at the Romet facility or calling in. The Receptionist will also provide office and customer care support, as well as administrative support to our CEO and management team.

KEY JOB RESPONSIBILITIES AND ACCOUNTABILITIES:

- Answer telephone, screen and direct calls
- Take and relay messages
- Greet persons entering the organization
- Direct persons to their correct destination
- Perform work related errands as requested
- Assist with event planning and implementation
- Ensure knowledge of staff movements in and out of organization
- Monitor visitor access and maintain security awareness
- Compiling and distributing PowerPoint presentations for meetings
- Receive and sort mail and deliveries
- Maintain appointments for boardrooms and meeting rooms on Outlook
- Arrange hotel bookings for the customers and employees
- Co-ordinate and prepare agendas for meetings
- Set up meeting room with necessary stationary and equipment and organize catering for meeting
- Coordinate with Logistics/SR for courier service
- Update and maintain phone extension list
- Monitor and maintain office equipment
- Control inventory relevant to reception area
- Keep tidy and maintain the reception area
- In charge of cleaning services for the plant and the office
- Procurement of office supplies
- Provide support in the form of general administrative and clerical support, as well as prepare correspondence and documents for the CEO and management team when needed.
- All other duties as assigned

SKILLS AND QUALIFICATIONS:

- Must be computer literate - Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
- Strong verbal and written communication skills
- Friendly Demeanor and Professional Appearance
- Detail oriented and able to work under pressure/tight deadlines
- Ability to balance the needs and demands from multiple departments and managers
- Possess excellent organizational and analytical skills

EDUCATIONAL/EXPERIENCE REQUIREMENTS:

- College Certificate/Diploma or related work experience
- 1-3 years Receptionist, Administrative Assistant or Customer Service related experience in a manufacturing or industrial environment
