PURCHASE LEDGER CLERK - PART TIME - CHEAM

Huntress Group are currently recruiting for a well-established building and contracting company based in Cheam. This vacancy is a part/time purchase ledger clerk working for 2 days a week for a minimum of 3 months. After 3 months the role will be reassessed and there is a possibility it can become a permanent vacancy. The ideal candidate should be Self-disciplined, able to demonstrate good time management and organisational skills with the ability able to prioritise work effectively to meet tight deadlines

KEY DUTIES AND RESPONSIBILITIES

- Reconcile delivery notes and purchase orders to all invoices received
- Ensure correct authorisation for all invoices and key invoice information into Sage using appropriate date and job costing code
- Deal with queries relating to anomalies between PO and invoice received - follow through by obtaining correct internal authorisation or issue of credit note from supplier as appropriate.
- Set up new supplier accounts and maintain existing account details within the purchase ledger module in Sage
- Monthly reconciliation of key supplier accounts
- Prepare monthly BACS run for submission to on-line banking system - update cashbook in Sage and allocate payments against invoices paid. Dispatch remittance advices to suppliers electronically
- Prepare monthly cheque listing for selected suppliers, obtain sign off, prepare and send cheques and remittances to suppliers - update cash book within Sage and ensure all payments are correctly allocated to invoices
- Answer office phone and E mails in a timely and professional manner, corresponding with vendors and resolving invoice discrepancies
- Cover for sales ledger activities as required
- Other ad hoc departmental administration duties as required
- Maintain in-house filing system to allow for easy retrieval of documentation. Ensure that archiving takes place on a regular basis

SKILLS REQUIRED:

- Solid book-keeping experience and knowledge of basic costing principles
- Sage experience preferred
- Computer literate with good data entry skills
- Experienced in using basic Excel spread sheets
- Good attention to detail with a high level of accuracy
- Team player with both good interpersonal and communication skills
