Location: Bridgend, Wales.

JOB PURPOSE

To support the delivery of a variety of projects within the clients programme

To work as a member of the Programme team, the Project Support Officer's prime responsibility is to provide project and organisational support to the Project and Programme managers and the project boards.

The Project Support Officer will be required to take responsibility and manage designated elements of Projects eg supporting, facilitating and monitoring progress of projects.

Duties and Responsibilities:

To support the project team by the following:-

To set up and maintain project files.
To administer project meetings
To work with the project manager in the production of the required products within the agreed tolerances of the Project Brief.
Responsible for the production of specified deliverables in a work package by undertaking specific activities, (eg intelligence gathering, creation of spreadsheets or databases, report writing, making recommendations to the Project Board).
Carry out research and development work in order to assist in the management of the project/projects.
Carry out Gap analysis activities
Responsible for in the preparation and completion of routine and ad-hoc reports required by the project board/project manager or programme office.
Responsible for the production of specified deliverables as defined by project management team members by undertaking specific activities, (eg creation of spreadsheets or databases, report writing,).
To be the initial point of contact for all correspondence for the project
Keeping records of project correspondence and project expenditure
Liaising with the Project Board or its appointed Project Assurance roles to assure the overall direction and integrity of the project.
Liaising with programme management or related projects to ensure that work is neither overlooked nor duplicated.
Liaising with any suppliers or account managers, as required.

Organising

To support the project team with complex activities across projects or several different work areas requiring adjustments of plans including:

Plan and organise project meetings and events across Wales.
Liaise with all event participants.
Prepare all event and meeting documentation.
To minute meetings and produce minutes as required.
To inform people of their follow-up action points, to ensure they are delivered on time
To assist in creating an identification scheme for all products
To create libraries (including online) to hold products
To develop and maintain information systems to accurately store and analyse project data to meet the needs of the project and programme.
Accept and record the receipt of new or revised products
Maintain change control and any required configuration management
Control the allocation of version numbers to changed products.
Set up and maintain appropriate logs and information systems (risk, issues etc).
To contribute to the general administration of the Programme as required, and other support functions as and when required.

Planning and monitoring

Planning and Monitoring elements of the project, requiring judgements of complex facts and situations which require analysis and interpretation that may include:

Assisting the project manager with drafting the Project Initiation Document.
Assisting in the preparation of project documentation eg project stage reports, benefit realisation plans, exception plans, business justifications.
Updating project plans and monitoring the delivery and key milestones
Drafting highlight reports.
Administering the project risks & issues. Identifying to the project manager where there may be a lack of progress.
Preparation of the Lessons Learned Report.
Preparation of the End Project Report
Preparation of Communication and Stakeholder Engagement Plans.
Monitor budgets and Project spend, producing finance reports monthly and when required. Assisting with financial forecasting and predictions.
Follow up with the appropriate persons any actions required.
Analyse and provide feedback on project or multiple project progress.
To control the receipt, identification, storage and issue of all project products
To provide information on the status of all products including organizational reviews and project progress information.

Communication

Manage and communicate with a significant number of stakeholders and employees and organisations
Work with Project Managers and the Communications team to organise the successful delivery of project based communication and stakeholder events.
Facilitating regional meeting/project workshops/design teams.
Manage relationships with external suppliers and contractors.
Responsible for providing and receiving complex or sensitive information in relation to national projects and work streams.
Design and deliver routine presentations
