PROJECT MANAGER - WINDOWS SERVER 2003 TO 2012 MIGRATION

There are over 10,000 Windows Server 2003 across the Group. Over 500 physical and 1,400 Virtual Servers in the PRG and CBJ data centres alone, a further 300 Servers in MBG and over 1,300 WS2003 distributed globally which are managed by ITS.

Extended Support of Windows Server 2003 will end on 14th July 2015; from this date Microsoft will no longer offer security updates, support or technical content updates for Windows Server 2003 as a standard support offering.

The risks of staying on Windows Server 2003 are high:
* Security and vulnerability exposures
* Greater exposure to downtime and related costs
* Regulatory compliance issues
* Greater support costs through a Custom Support agreement
* Business Applications running under Ws2003 may no longer be supported by vendors

The costs of staying on Windows Server 2003 will increase:
* Microsoft Custom Support Agreement costs are expected to be USD 5,000 per device with an additional charge for each patch release; expectation is currently USD 1.75M based on the maximum threshold of 300 devices
* Microsoft Custom Support increases exponentially, so subsequent years will are expected to be USD 3.50M, USD 7.00M and so on.

Program Objectives
The objective is to eradicate the Windows Server 2003 (or earlier) instances, both physical and virtual, to zero by 14th July 2016. Removing the Servers from the estate will remove the risks caused by the end of Extended Support.

The goals are to migrate the WS2003 (or earlier) Servers to the target OS, WS2012R2. This will entail:

* Hardware refresh of the ITS-managed server estate in-country and in the ITS facilities: MBG, PRG, CBJ and Germany ITS
* To ensure Active Directory is available on WS2012 to avoid multiple upgrades in short period of time
* Upgrade of Altiris 7.5 to work with WS2012
* To migrate ITS-supported Business Applications running the WS2003 instances to the target OS, WS2012R2. This will entail a TAT and RTP on a service-by-service basis
* If an application cannot be migrated it will be brought to the attention of the application owner who is then responsible for deciding the appropriate course of action and for any additional funding requirements through a separate Business Case justification and Change Request.

A further goal and key focus area is to consolidate and simplify the server estate. This will encompass the following:
* decommissioning Servers
* Sun-setting applications
* stacking applications
* virtualizing Servers
* moving to Private Cloud

Program Scope
* Server Refresh
o WS2003 Servers located in PRG and CBJ data centres and Germany and MBG IT facilities.
o In-Country WS2003 Servers managed by ITS remotely
* Identification
o Identification of additional WS2003 Servers deployed after the discovery phase; these will be managed through the standard Program change process
* Altiris
o Upgrade to a Windows Server 2012 compliant version, Altiris 7.5
* Active Directory Domain Controllers
o Release of WS2012 compliant version, DC 2012
* E2E Business Applications
o TATthese will be handled on a case-by-case through the Program Board
* Internal and Infrastructure Applications
o TAT & RTP
* Other
o Request For Proposal for Server Build and OAT
o Document updates to SLAs, Service Descriptions, Support Models
o Charges and Pricing updates
o OVO monitoring scripts
o Topaz monitoring scripts
o AAA Monitoring where appropriate
o Migration tracker development
o Additional WS2003 Servers not identified in the original discovery/baseline
o Progress reporting will be tracked so holistic reporting can be administered.

Key Accountabilities
The Project Manager is responsible for following the 'Best Practice' project management methodology through all aspects of the project, if applicable, from inception through implementation/steady state. The Project Manager will ensure team members deliver on tasks assigned to them and escalate any potential issues that may risk success of the project. The Project Manager will document project progress, outcome, lessons learned and perform other duties as required.

* Ensures stakeholders and other interested parties are kept informed of progress and that corrective action is taken to avoid delays.
* Gathers, assess, and communicates critical information on a timely basis, by interacting with a broad set of teams
* Provides advice, both reactively and pro-actively
* Ensures requests for support are properly logged, assigned and responded to in a timely manner and according to agreed standards and procedures.
* Spotting potential problems early and taking pro-active action to stop them occurring and/or having a major disruptive impact.

Organisational Interfaces
* Experienced to represent project management competency and capability in the early stages of lead and proposal development for meaningful to complex opportunities.
* Experienced ability to deliver, or supervise staff in the delivery of customer/partner presentations for complex projects.
* Experienced ability to establish productive business relationships with all levels of customers, business partners and vendor management.

Project Planning & Administration
* Experienced to assist in the definition of meaningful to complex projects to guide the most appropriate use of the project management process in concert with strategic direction.
* Experienced ability to create the project work plans.
* Experienced use of project administration processes including project initiation, labour tracking (if applicable), status reporting, and basic project capital/expense tracking.
* Experienced vendor coordination and management skills in the context of planning for overall project delivery and the ability to individually coordinate multiple functional project groups - either in-house, customer, or third-party.
* Experienced ability to complete and/or coordinate the completion of all project components to meet appropriate economic standards, ensures customer satisfaction, timely completion, and project profitability.
* Experienced ability to support & contribute to overall project success.
* Experienced ability to assess project risks and develop timely, proactive plans to mitigate risk factors.
* Experienced ability to provide direction, motivation, training, and decision support to project staff.
* Experienced ability to leverage the competencies of project associates to enhance project quality and accelerate results.
* Experienced ability to recognise and manage staff diversity, performance and or personality conflicts.
