Contract Coordinator

Description:

The major purpose of this project is to assist during our heavy volume season to deliver Summary of Benefits Coverage (SBC) documents as required by our groups and public and private Exchanges.
The Contract Coordinator supports the contracts and benefits team in the creation of key product and benefit regulatory documentations and other materials.

THE CONTRACT COORDINATOR PARTICIPATES IN CROSS-FUNCTIONAL WORK EFFORTS RELATED TO THE CLARIFICATION, INTERPRETATION, BENEFIT ADMINISTRATION, PRICING ACTIVITIES AND MEDICAL POLICY DEVELOPMENT.

CREATES WRITTEN MATERIALS USED TO COMMUNICATE WITH REGULATORS AND INTERNAL STAKEHOLDERS; WHICH MAY SERVE AS THE BASIS FOR EOC'S OR BENEFIT AND SERVICES SUMMARIES.

THE CONTRACT COORDINATOR CREATES TOOLS, PROCESSES AND SYSTEMS TO TRACK AND ORGANIZE THE REGION'S CONTRACT SUBMISSIONS.

PRIMARY DUTIES:

Access SalesConnect to retrieve information to fulfil for SBC production
Respond to email inquiries related to SBC production
Access SBC Utilization Integration tool to auto populate SBC template
Report on SBC productivity
Participate in scheduled or ad-hoc meetings

Accountabilities:
1. Responds to customized product documentation requests by members of the Benefit Administration for product managers, sales representatives, account managers, business development team members or other health plan representatives.
2. Creates and facilitates the fulfillment of benefit and services summaries.
3. Creates and compiles EOCs pdf's for various products and employer groups upon request
4. Supports the work of the Contract Specialists by coordinating and tracking contract submissions to regulatory agencies.
4.1. Maintains logs of all documents collected and submitted for action
4.2. Sends electronic and hard copy submissions
4.3. Maintains awareness of the timeline for approval
4.4. Tracks progress through the system
5. Maintains complete, compliant, accurate and well organized contract files
6. Creates and maintains tracking systems to monitor progress through the approval process. Ensures compliance, accuracy and timeliness of contract filings, EOC fulfillment, Benefit configuration loads and benefit administration activities.
7. Communicates with all relevant stakeholders when researching and resolving issues. Ensures that there is follow-up on implementation of recommendations.
8. Manages maintenance and data integrity of the contracts administration databases.
9. Works with vendors and other internal departments to ensure accurate and timely benefit information needed to support system configuration.
10. Provides for timely retrieval and dissemination of contract administration data to support internal and external business needs.
11. Facilitates an environment that is customer service focused (both internally and externally).
12. Performs other related duties as directed.

Requirements:
Three years of experience in managed care, HMO operations, or other area relevant to making new healthcare services within a membership environment required.

Computer skills, attention to detail, ability to work well with others, good communication skills (written/verbal), able to work with tight deadlines or high volume requests.
Strong customer and market orientation, as well as broad knowledge of HMO products and healthcare operations required.
Experience in adult education, innovative training methodology and evaluation techniques required.
Familiar with new product developments required.
Project management and supervisory experience preferred.
Exhibits an ability to focus on details and proactively recognize potential benefit administration and product documentation issues before they occur required.
Demonstrated strong organizational, operational, problem solving, organizational, planning, communication and interpersonal skills required.
Demonstrated ability to work independently with limited supervision as well as the ability to work in a team environment required.
Bachelor's Degree or advance degree in business, related field, or equivalent experience is preferred, not required.

HS diploma or equivalent required.

HOURS: 9 am - 6 pm during the first 2 - 3 week training. Then some flexibility and will work to establish a preferred schedule.
