Principal Accountabilities:
* Correct distribution of documentation, including e-mail;
* Administration of Project meeting schedule;
* Responsibility for Project correspondence files;
* Responsible for updating and maintaining Project Internet page;
* Quality and accuracy aspects to own work and complete work within timeframe given.
Key Job Specific Skills:
* Establish and maintain project files in SharePoint for letters, telefaxes if needed, e-mails etc.;
* Maintain organization objects, such as organization charts and job-descriptions in co-operation with Project Manager;
* Execute project administration routines and services as described in VGS procedures and work instructions;
* Maintain network related information;
* General secretary tasks for the Project Management Team and Project Manager;
* Responsible for update and maintain Project WEB page (SharePoint) as applicable;
* Propose user access;
* Propose Page Layout;
* Assist project members in use of such tools;
* Use and support project members in use of administrative tools;
* Organize and schedule meetings;
* Other dedicated tasks may be created and expected to be executed, depending on the project's demand.
CONTRACTOR IDEAL/SPECIAL EXPERIENCE:
* Knowledge and Experience;
* Administrative education;
* Proven experiences as project secretary for technical projects with English as work language both orally and written;
* Knowledge of basic IT tools for secretarial work tasks.
