Program Office Coordinator

Projektbeschreibung
For a 12 month project with our client in Lausanne, we are looking for a Program Office Administrator.
Tasks:
. Contract management: Track all GLS related supplier contracts, Check cash out versus service delivered, manage gaps
. Regular rolling multi-year forecast in KCHF: provide management with multi-cost view- by contributing entity, - by project, - by region including visibility
. PEC input: Provide timely visibility about
- missing approvals of invoices from supplier
. missing approvals of invoices by PM
. project break down by approved invoice
. Time entries of upfront approved invoices
. manage parked invoices
. GLS project cost reporting: Quality check on raw data, support monthly reporting covering multiple cost views, collect input from GLS Project Mangers
. Service Orientation is critical to support Project Management Office in tight collaboration with Finance
. Results Focus allows to achieve performance objectives and to support management in their decision making process
. Capability to convince others is critical to ensure finance compliance and accounting standards
. Project cost management - analyst
. Knowledge in cost accounting
. Communication skills to best manage stakeholdersincluding developing templates.
. Bringing together the Portfolio for NBE based on the principles laid down by the GLOBE. At the moment Will Macdonald is re-defining what this is and I need to make sure we follow one standard method and system. In short, establishing the NBE Portfolio.
. Potential to manage minor projects (if the time allows)
Skills/Qualifications:
. Achievement focus (ie high energy levels and commitment to end results): HD
. Able to work successfully in a Matrix operational
. Coordination - experience and capability.
. Soft skills - Good verbal and written communications. Demonstrated team player, results focused, takes initiative and proactive collaboration.
. Educated to Degree level- or 4/5 years work experience in a similar field.
. Project Management qualifications (PMP, Prince2, etc.) would be advantageous.
. Strong financial knowledge of projects/programme including benefit case preparation and realisation.
. Strong planning & organisational skills, with the ability to manage and coordinate multiple activities whilst working under pressure and to tight deadlines.
. Good knowledge of MS Excel, Word and Project
. Conscientious and respect of the position's confidentiality
. Excellent level of written and oral English, French is a plus
