For our client, a pharmaceutical company in Basel, Switzerland, we are looking for a motivated and ambitious:

Professional Project Coordinator (60%)

Project background:

The Project Coordinator, ALPIN 2.0 joins a team of talented, creative, and motivated IT Systems Analysts, Developers, Solution Architects, Project and People Managers, who work on the ALPIN 2.0 project within Pharma Informatics ERP Demand-to-Supply organization (there are 7-8 people the candidate will work closely with). We are looking for someone that can join the team in August to help coordinating and planning project activities.
The ALPIN 2.0 project is about to redefine the operating model related to Artworks (printed packaging materials - ie patient information leaflet that can be found in the drug package). Managing high number of artwork changes of Drug Products through company's supply chain is a complex process which shall be simplified by the project. It is planned to be achieved via process simplification and interlinked best-in-class informatics infrastructure to make the systems, involved in the processes, more user-friendly and to enable an increased throughput of artworks changes. The project is currently in the Build phase and some prototyping activities started on the Informatics side.
The position reports functionally to the IT Project Manager.

MAIN TASKS:

- To actively support the Project Manager and carrying out some project controlling activities
- To drive the completion of the formal Project Management Methodology deliverables (project charter, data classification, user requirements specification, etc)
- Follow-up on and coordinate IT activities (ie run meetings, proactively check status of progress, etc)
- Scheduling, hosting and attending meetings, taking meeting minutes (eg Project Team Meetings), capturing actions, risk, issues, decisions and dependencies
- Act as document librarian and controlling document life cycle (Condor administrator)
- Support PM to draft a project plan (including business activities) in smartsheet and then maintain this plan.
- Tracking and updating Risks, Issues and Actions within the relevant tool, including reporting on overdue items
- Good experience in Google mail and other google products, user experience with Clarity and Ariba, proficient with MS Office tools
- The ideal candidate has great follow-up/follow-through thinking and attention to details
- Collaborate effectively with project team members - ie with Business PMO

QUALIFICATIONS:

- Experience working in a multi-cultural, global (non co-located) work teams
- At least 5-7 years of experience as a project coordinator or similar role
- Project Management foundation certificate (PMI, Prince2, or similar)
- ITIL Foundation certificate
- Must be a self-starter, results-oriented and have a track record of timely, high-quality deliverable
- Speaking and writing fluently in English is a must

NICE TO HAVES:

Experience in pharmaceutical, biotech, or other validated environment is a plus

DURATION: TILL 31.08.2017 (WITH OPTIONAL EXTENSION)
