Projektbeschreibung
Reporting directly to the Programme Manager (PgM), provide them with the administrative support they need, in order to comply with our Portfolio Delivery Framework.
Responsibilities
- Understand the Portfolio Delivery Framework, particularly in terms of what products/documentation has to be produced and when, and be an advocate for compliance with it.
- Support the PgM (and the Project Managers (PM) within their Programme) to comply with the Portfolio Delivery Framework as a whole
- Support the PgM and their PMs to provide consistent quality Management Information (MI) reports according to the required schedule.
- Organise meetings (incl. room bookings etc) both routine and ad-hoc
- Take, write up and distribute minutes of Programme/Project meetings and track/expedite actions
- Collect and file timesheets for agency staff involved in the Project/Programme.
- Assure the PgMs and PMs of the completeness of the project/programme documents/products that are required at certain points in the Project life cycle Maintain the Project/Programme folder and file structure, including document management and version control
- Administer Change Control
- Support the PgM and PMs to proactively monitor Project finances on a monthly basis (incl. administration of Purchase Orders).
- Support the PgM and PMs with the on-boarding of new Project staff (eg ID badges, Laptop etc)
- Support the PgM and PMs with the induction of new Project staff in the Portfolio Management Framework
- Assist with secretariat tasks (as agreed with the PgM and PMs).
- Actively seek out ways to improve the Portfolio Management Framework, and contribute to Community of Practice sessions with other PMO Support Assistants, that are aimed at improving the service you provide to the PgMs and PMs
- Experience
- Demonstrable experience or working in Programme and Project Management offices in IT & business change delivery
Ability to deal with challenging time scales and deliver results
Ability to work with people at various levels within an organisation.
Self-starter and able to be part of a team
Experience of working with 3rd parties/suppliers
Good documentation management and communication skills
Excellent IT skills in MS Word, MS PowerPoint and MS Excel
