ROLE: PERSONAL SECRETARY (TO THE MD)

LOCATION: LONDON

DURATION: 6+ Months Initially with possible extension

NOTE: THE ROLE OF PERSONAL SECRETARY TO THE MANAGING DIRECTOR

ROLES
- Working with the Diary Secretary to manage the MD's daily schedules ensuring that hisher time is being leveraged as effectively as possible. Ensure the MD is fully briefed on meeting agendas and that all documents and materials are available;
- Taking minutes and notes of meetings and distributing finalised notes to relevant partisipants in a timely manner;
- Assisting in the production and collation of materials on behalf of the MD, such as presentation slides, briefing documents and papers, identifying who to contact when information/materials are required and ensuring the MD has the necessary information to make robust decisions
- Planing and co-ordinating meetings and visits and ensure all associated paperwork and information is available in advance, anticipating requirements and gathering additional information;
- Organising events on behalf of the MD, such as briefings, visits, lunches etc and make travel/accommodation arrangements.
- Undertaking other tasks and responsibilities as may be reasonably requested.

MAIN DUTIES

- Demonstrable Office Manager experience supporting a senior leadership role.
- Excellent Communication skills - able to communicate in a succinct, engaging manner and stand ground when needed.
- Have demonstrable experience in setting priorities, goals, objectives and timescales.
- Ability to plan ahead, reassessing workloads and priorities if situations change or able to deal with conflicting demands.
- Able to manage own and Managing Director's work and act promptly to keep work on track and maintain performance.
- Confident and professional in dealing with senior staff in the Department and Other Government Departments, and external stakeholders.
- Excellent IT skills including MS Office, Excel and PowerPoint presentations
