Projektbeschreibung

The Personal Assistant (PA) will be the main support function of the VP Network Engineering in his/her daily activities. The PA will be able to support on the daily basis with the administrative assistance. She/he will be able to produce executive presentations as well as preparing financial overviews.
The PA will as well support the director level team in organizing travel when required.

1) Provide a consistent high level of Personal Assistance to VP NE on a daily basis, incl;

- Manage calendars, arrange meetings and ensure there are no conflicts
- Submit expense claims on regular basis
- Attend (bi)-weekly staff meetings & register actions
- Assist with weekly staff reports
- Assist with arranging interviews
- Arrange business travel
- Assist with setting up new hires (TRF, laptops, phone connections, ID badges etc)
- On ad hoc basis/request organize workshops, team meetings etc.

2) General Administration tasks

- Submit Purchase Orders and chase on actions
- Ensure timely receipt of services/good & reconciliation of invoices/timesheets against PO
- Manage VP's financial overviews supporting spend tracking, employees' expenses & budget reviews
- Support/build PowerPoint presentations

3) Project overview support

- SPOC for both departments with regards to Clarity resources planning

JOB REQUIREMENTS

Preferred education/qualifications:

- Educated to degree level (A' level education considered)
- Completed training in excel and PowerPoint is a pre

Knowledge & Experience:

- A minimum of four years PA/secretarial experience at a senior level
- Experience in creating financial overviews for tracking purposes
- Experience working in an international and multicultural environment
- Knowledge of Oracle and I-buy is an advantage

Skills & Abilities:

- Advanced skills with MS Office applications eg Word, Excel and Powerpoint
- Ability to learn quickly about the basics of Cable industry
- Proactivity in dealing with all administrative matters
- Professional and frequent communication with the VP
- Shorthand and excellent typing skills
- Speed and accuracy are essential
- Excellent organizational skills
- Excellent communication skills, both verbal and written
- Proven ability to work under pressure and to tight deadlines
- Flexible and mature approach with ability to work unsupervised
- Fluent in spoken and written English
