Projektbeschreibung

Personal Assistant required for an initial 3 month contract role based in Osborne Park. The role is to assist a Director of the client in all day to day duties to support him and the business.

ROLE RESPONSIBILITIES- - Provides direct executive/admin support.
- Liaises with senior officials in the public and private sectors on behalf of Director.
- Receives screens and initiates appropriate action in relation to all incoming calls for the Director and attends to visitors.
- Prioritises and arranges all appointments/functions and maintains Director's calendar.
- Receives, vets and monitors correspondence and responds accordingly and forwarding correspondence for action either by Director or relevant staff member.
- Undertakes research and reports on matters under consideration as directed.
- Alerts Director to relevant information/developments - urgent or non urgent
- Prepares draft responses as directed.
- Provides minute taking and agendas for meetings as directed.
- Maintains confidential filing system.
- Arranges purchase of stationery, printer/copier consumables and maintaining supply for using on-line accounts.
- Maintaining correct and accurate paperwork so client can reconcile for their month end.
- Assists with purchasing approval of laptops etc and updating records.
- Assists with invoicing approvals required by Director and ensuring forwarding to Business Support area.
- Ensures any memos. letters etc from staff for Director sign-off is in the correct format and quality controls.
- Ensure handling of cab vouchers and correct recording on Business Support cab voucher spreadsheet.
- Maintain the Service Delivery pool car and ensure correct usage.

REQUIRED SKILLS/KNOWLEDGE/EXPERIENCE

- Accurate keyboarding skills.
- Meeting preparation and follow up including minute taking and action items.
- Demonstrated interpersonal, verbal and written communication skills, including negotiation and liaison skills.
- High level organisational and time management skills, including the ability to plan, prioritise, make decisions and meet deadlines.
- 5 years minimum in personal assistant/admin work.
