Projektbeschreibung

A blue chip organisation based near Camberley require a Personal Assistant for 3 months initially but the contract is likely to be extended for 12 months. The client is looking for a Personal Assistant to support the Head of Global Sales on an ongoing contract.

Main responsibilities include:
Travel arrangements/Meeting organisation (Project management):
- Planning extensive travel itineraries and complex diary management
- Organising and attending sales meetings, training sessions and conferences
- Organise functional meetings and other events off and on site, select location, control costs and compliance, ensure that meetings run smoothly (catering, transfers, accommodation, dinners).
- Create and compile presentations for meetings, prepare material for event(s).
- Assisting with special projects.

Communications:
- Preparing correspondence including minute-taking.
- Obtaining articles from regional managers to include in quarterly newsletter, editing and distributing newsletter.
- Filter and process consumer and customer calls, letters and emails.

Administrative Tasks:
- Maintaining databases and Intranet sites for the Global Sales team
- File documentation in a logical and confidential manner.
- Raising Purchase Orders and process invoices; follow up with accounts payable and suppliers, rapidly and efficiently.

Other, remarks:
- Work in close co-operation with other assistants to understand the business and its evolution, and to be in a position to substitute for another assistant within the same function, in case of an absence.
- Compliance with all local regulatory requirements including drug safety responsibilities for the collection and reporting of adverse event information according to the written procedure.

The successful candidate will be a confident self-starter with excellent communication skills. The ability to multi-task and manage complex itineraries is essential. The ideal candidate will have previous experience in editing articles, creating newsletters or maintaining Internet/Intranet sites.
