Project/Department Description and responsibilities:
The Records Management department is responsible for implementing and maintaining Records Management programs in Beerse (not PRD), Geel and Olen, ensuring all departments manage their records in accordance with J&J, legal and regulatory requirements.
Tasks and responsibilities:
Maintenance of the network of departmental Records Coordinators and Approval Authorities
Maintenance of the records retention schedules - this involves thorough knowledge of retention periods stipulated in national legislation, industry regulations (GxP) and historic value of documents
Coordinating annual cleanouts by liaising with the Records Coordinators, including planning, training and reporting
Coordinating the archiving and destruction of paper records with the Records Coordinators and archivists, according to the retention schedules and with the vendor managing the archived records
Coordinating the scanning of vital records with the Records Coordinators according to the retention schedules
Maintenance of Records Management Standard Operating Procedures and work instructions Prepare training materials and provide training to Records Coordinators, Archivists and other associates (including training on the web based archiving system)
Non-Technical profile requirements:
Strong interest in Records Management
Able to work accurately while valuing compliance (policies and procedures)
Flexible personality with a can do attitude
Ability to persist, to deal with resistance to change
Strong tracking, coordination and project planning skills
Ability to identify and implement process improvements
Strong analytical and problem-solving skills
Must be able to work on multiple simultaneous tasks with limited supervision
Quick learner, motivated self-starter
Excellent customer service, interpersonal, communication and team collaboration skills
Able to follow procedures and internal guidelines
Methodology/Certification requirements:
Bachelor Degree OR equivalent through experience
Language proficiencies: Excellent English & Dutch spoken and written skills
