NATURE AND SCOPE

The job requires an enthusiastic individual; who is capable of working under pressure, using their own initiative and has some experience of PA/Secretarial role to senior management.
Possess an out going and friendly personality, and be happy to work as part of a team.
They must be flexible and willing to undertake a wide range of tasks and deal with people at all levels of the organisation.

PRINCIPAL ACCOUNTABILITIES:

* Provide general support and assistance to the Manager Of's in Customer Services.
* Effectively manage clerical duties on behalf of Manager Of's in Customer Services within B2C including, typing, photocopying, and dealing with correspondence.
* Distribute confidential correspondence from Executive Level appropriately and deal with accordingly.
* Prepare PowerPoint presentations for staff briefings and management reports.
* Download and deal with incoming email, post, correspondence and faxes. Sort appropriately and deal with as required.
* Control and management of the Manager Of's diary, making and co-ordinating meetings.
* Organise and manage conferences, functions and events.
* Disseminate information to all other parties, at all levels. As and when required.
* Prioritise work for the day in line with Manager Of's requirements.
* Monitor incoming telephone calls and delegate accordingly.
* Liaise with internal and external customers at all levels.
* Booking of travel arrangements.
* Completion of financial tasks such as expenses/corporate card reconciliation
* General Office Administration.
* Flexible approach to working hours
* Willingness and ability to travel

SKILLS & EXPERIENCE

The successful candidate is likely to possess previous PA/Secretarial experience. The individual will need to be disciplined and well organised to deal with this challenging role and be able to demonstrate the following:

* The ability to work under pressure and to deadlines.
* Be able to resolve both standard and non-standard problems as and when they occur
* Familiarity and expertise with office systems and equipment such as email, voicemail, electronic filing, faxing, mobile telephones, laptops etc.
* Be able to act with integrity and handle highly confidential information appropriately.
* Excellent interpersonal skills.
* Extensive working knowledge of Microsoft Word, Excel & PowerPoint.
* Highly developed organisation skills.
* Confident manner with the ability to work on their own initiative.
* Excellent telephone handling skills.
* Enthusiastic and highly motivated with a strong customer focus.
* Excellent communication skills, verbal and written.
