This is a new role to enable the Head of Cross Border Business to work as effectively as possible by providing efficient and effective administrative and secretarial support. This role is initially on a fixed term/secondment basis for 12 months.
RESPONSIBILITIES
- To deal with all incoming phone calls and provide a first line response to queries, including filtering those that do not need to be dealt with by the Head of XB.
- To deal with correspondence and emails on behalf of the Head of XB, filtering items as appropriate, responding to requests/enquiries and drafting follow up correspondence to companies/individuals as appropriate.
- To manage the Head of XB's diary and assist other members of the XB team with diary management, ensuring effective use of time. Briefing the Head of XB on forthcoming appointments and ensuring all necessary arrangements are in place, travel organised and paperwork provided.
- To produce documents, including letters, minutes of meetings and spreadsheets to support the Head of XB as appropriate.
- To deal with all aspects relating to the arranging of meetings and events, including room bookings, invites, refreshments and facilities, circulation of agendas, taking of minutes and ensuring actions are followed up.
- To deal with expenses, purchase orders and personal administration as required for the Head of XB.
- To collate, prepare and circulate statistical and other information as required
EXPERIENCE/SKILLS
- Significant previous experience of providing PA support to a Senior Manager is essential.
- Experience of working within financial services would be beneficial.
- Proficient in the use of PC software including Word, Excel, PowerPoint, Outlook, and any other packages as required.
- Shorthand experience desirable.
- Relevant secretarial qualification.
Good standard of English and Maths. - Self motivated, highly organised with good attention to detail.
- Good interpersonal skills and ability to deal confidently with people at all levels.
- Pragmatic, works well as part of a team.
- Ability to handle sensitive information, display tact and diplomacy and maintain confidentiality.
- Flexible and able to respond effectively to variations in workload.
- Ability to remain calm under pressure
