An exciting opportunity has arisen for a Personal Assistant to provide maternity cover on a 6 month fixed term contract within Group Legal at BAE Systems Head office, Stirling Square. The PA will facilitate the daily activities of two Chief Counsels and one Senior Counsel.

The position would suit a self-assured, competent PA with a flexible approach who is able to cope with changing priorities in a highly pressured environment. The successful candidate will be able to demonstrate excellent organisational skills, the ability to liaise at all levels internally and externally and the capability to prioritise workloads in a fast paced and sometimes challenging environment.

As a Personal Assistant your main responsibilities will involve:

Diary and e-mail management

Making travel arrangements, both in the UK and internationally including accommodation and visa applications

Arranging meetings, booking meeting rooms including those overseas and offsite

Collating and processing expenses

To produce purchase orders for final invoicing / Keeping invoicing records up to date

To produce monthly reports for Group General Counsel

To facilitate the security vetting of legal secondees

To assist visiting BAE Systems lawyers as required

To undertake any other ad hoc duties required

To assist with transferring legacy documents from a shared drive onto LMA

Provide LMA support as a super user

As a Personal Assistant your skills and qualifications will ideally include:

Excellent administrative, secretarial, planning and organisational skills with the ability to work to tight deadlines on a range of tasks at any one time.

Strong IT proficiency, including expert use of Microsoft Office applications including Word, Excel, PowerPoint, Outlook and SharePoint.

Accurate typing skills.

Capacity of work on own initiative and as part of a larger team.

Highly motivated.

Pro-active and takes initiative.

What were looking for in you

We are looking for an individual who will be flexible, organised, reliable and patient coupled with the ability to prioritise and multi task using their own judgement when necessary, while exercising discretion at all times. They will be detail orientated, with good administrative and IT systems skills as well as the ability to liaise with individuals at all levels. The successful candidate will have excellent communication skills and is confident, resilient and diplomatic.
