My client, a global cloud advisory and technology services company, providing cloud strategy, implementation and integration capabilities, is looking to recruit an organised and motivated individual to manage the day to day functioning of the office and to manage the UK office on a temporary basis up to 7 months to cover maternity leave.

This job will be ideal for someone who is experienced in managing a small office with a population of between 60-90 people. You will be required to use your own initiative and work independently, managing the office and supporting the other staff members in their work, IT support for existing employees and new hires into the business.

The right candidate should have proven experience as a Operations Co-ordinator. It would also be advantageous for the candidate to be familiar with working in a fast paced, high pressured environment and to be flexible with their hours.

During this time period, the company is planning an office move within London. The right candidate will require experience of managing locally an office move, with all the various inter-related activities that make up this project.  
Roles and responsibilities will include, but not be limited to:

Screening phone calls, visitors and post, being the first point of contact for the company, responding to emails, liaising with clients and suppliers as required
Ensuring administrative, supply and office needs are provided for
Updating and maintaining company documentation and local contract filing system, overlooking and agreements with vendors.
Be responsible for UK accounts payable- liaising with the finance team ( based in the US)
Diary management, organising travel, appointments and meetings, booking accommodation
Managing all vendors that support the running and maintenance of the UK Office, including the cleaners, electrical company, general maintenance company and water suppliers.
Organising the office layout and maintaining supplies of stationery, IT equipment
Organising refreshments for UK office on a daily/weekly basis and for Team events of up to 70 people.
Liaising with the HR manager, and IT Administrator in regards to new user login's/IT access
Providing organisational support for events where necessary
Recording office expenditure, tracking and processing invoices,
Using a range of office software, including google mail, spreadsheets and databases
Developing and implementing new administrative systems

The ideal candidate should have:

Excellent verbal, written, telephone and interpersonal skills
Experienced in managing a small team
Excellent organisational skills
Experience in facilitating/project managing an Office move of up to 70 people within London
Be flexible
Strong organization, communication and follow-up skills are essential
Accuracy and attention to detail needed
Should be team-focused with a desire to collaborate effectively
