ON-SITE SERVICES COORDINATOR - HEALTHWORKS

THIS POSITION WILL BE STATIONARY AND LOCATED AT THE BURBANK FACILITY

The Onsite Services Coordinator functions as a member of the HealthWorks Product Management Team within the Onsite Services product. Under supervision of the Sr. Manager and lead product manager, leads and manages coordination of health education classes, biometric screenings, and flu clinics at employer worksites. The end-to-end process includes: scheduling requests, securing price estimates, delivering reports and billing.

THIS POSITION IS TO ASSIST WITH THE INFLUX OF EVENT REQUESTS DURING OPEN ENROLLMENT SEASON (AUGUST THROUGH NOVEMBER) IF WE DETERMINE ADDITIONAL NEED FOR THIS POSITION BEYOND OPEN ENROLLMENT, WE MAY CONVERT TO FTE.

DESCRIPTION:

- Initiates proposals/requests with medical groups or vendors on behalf of Sales and Account Management (S/AM) and clients for onsite services (ie, biometric screenings, flu shot clinics and health education classes).
- Manages and confirms requests using SharePoint tracking system.
- Accountable for consistently confirming events within turnaround time requirements, as specified in service level agreements with medical groups and vendors.
- Responsible for managing the coordination of onsite service logistics, including but not limited to securing AV technical equipment (eg, laptop, projector, extension cords and available outlets), confirming parking availability, security and providing day of event contact information.
- Provides day of event on-call troubleshooting and problem resolution.
- Responsible for assessing post-event customer satisfaction by initiating follow-up phone call.
- Order and deliver aggregate screening report to S/AM, as appropriate.
- Deliver aggregate class evaluation report to S/AM, as appropriate.
- Tracks and monitors estimated quotes to customers.
- Partner with medical group partners to reconcile events that were delivered and accounted for in SharePoint system.
- Accountable for consistently demonstrating service behaviors and principles defined by the Service Quality Credo, the Mission as well as specific departmental/organizational initiatives. Also accountable for consistently demonstrating the knowledge, skills, abilities, and behaviors necessary to provide superior and culturally sensitive service to each other, to our members, and to purchasers, contracted providers and vendors.

DAILY RESPONSIBILITIES:

. Review SharePoint to begin intake process for event coordination

. Review intake form to ensure that all necessary information is included for event coordination

. Coordinate events with medical groups or vendors

. Respond to inquiries regarding the Onsite Services product and coordination process

* Conduct planning calls with customers to ensure positive event execution for the day of the event

BASIC QUALIFICATIONS:

1-3 years experience in sales and marketing (Healthcare industry preferred).

Bachelor's degree or equivalent experience required.
-

Strong customer service skills.
