OCCUPATIONAL HEALTH & SAFETY TECHNICAL ADMINISTRATOR

To provide administrative support to the Head of Occupational Health & Safety for four Legal Entities, the UK OHS Team including coordination and provide dedicated Operational OHS customer support.

Working closely with customer OHS departments to ensure contractual, legal compliance and customer satisfaction, is maintained.

A good understanding of Health & Safety is preferable with the flexibility to be able to travel to other client and customer premises, when required.

Collate, update and maintain internal and external reports/data with great attention to detail.

Excellent communication skills both verbal and written, with a confident, professional manner.

Arrange, attend and participate in meetings where necessary. Take minutes, action points, monitoring status, updating and distributing in a timely manner.

High level of IT skills in all Microsoft Suite, Outlook, Word, Excel, PowerPoint, Graphs, Charts etc. Must be IT literate

Team player, confident with the ability to build relationships across the team and the wider clients community

Ability to organise, prioritise own workload, work on own initiative, work to a busy and demanding schedule.

Specific responsibilities:

- Head of Occupational Health & Safety and OHS Team coordination.
- Monitor FSO Incident Reporting in-box, raising and logging new incidents within agreed timescales
- Use clients systems to log and track all incidents. Create and issue reports on incidents where necessary.
- Work closely with internal/external contacts to progress OHS incidents that have been reported and close in a timely manner. Where necessary chasing and reminding action owners.
- Assist in the compilation of the Customers Monthly Reports providing data/statistics where necessary.
- Log information from Approved Service Providers Monthly Reports onto central location.
- Provide Admin Support to the OH&S Team, maintaining and updating documents in clients system when required.
- Arrange, attend and participate in meetings where necessary. Take minutes and action points, updating and distributing in a timely manner. Chase action owners for updates and close actions.

Technical competencies:

- Entry level Health & Safety qualification
- Strong computer skills and competent in using Microsoft office programmes. Good level of computer literacy working with MS Word, Excel, PowerPoint, Outlook etc
- Excellent time management skills with the ability to prioritise own workload
- Excellent communication skills both written and oral.
- Ability to work independently as well as part of a team ensuring team deadlines are met.
- Clean Driving Licence
