Office Resource Manager, Chichester and Bognor Regis

Capita is a large outsourcing company and works in partnership with West Sussex County Council to deliver a range of services including HR and payroll, finance, office services, online service delivery, procurement and pension administration. We are seeking an Office Resource Manager to join our team in Chichester and Bognor Regis area on a 12 month fixed term contract. You will manage a team of 25 Administrators allocating workloads appropriately.

Purpose

Accountable for managing a specific customer focused administrative operation and staff who provide this function. Duties will include ensuring that support resources are deployed, at an operational day to day level flexibly, effectively and efficiently across a diverse client base. The post holder ensures that their operation of the service provision is assessed, monitored and meets local performance indicators and Service Level Agreements and that action is taken where indicators are not met.

Accountabilities

* To be responsible for managing, at a local level, a varied admin shared support service team of up to 20 - 35 staff including the performance management and professional development of those staff. This will include establishing mentoring for the team, setting and monitoring targets and objectives and balancing skills with on-going training and development to ensure a fully effective pool.
* To manage the day to day delivery of a varied administrative shared support service to a specific range of diverse clients, including establishing Service Level Agreements with clients, long-term planning, ensuring correct allocation of work within and across pools as appropriate, on-going monitoring of work timescales to ensure targets are met and undertaking regular quality assurance work to ensure high standards are maintained. Additionally the post holder will be responsible for taking positive action where performance indicators are not being met and deciding on what the appropriate course of action is.
* To accurately interpret and agree client requirements, budget limitations and deadlines, in order to match demand with supply of resource from the resource pool.
* To establish, develop and maintain good working relationships with clients, resolving delivery issues, complaints and attending on-going review meetings at a local delivery level.
* To be responsible for effective communication by providing in-depth specialist advice and information to clients/customers via e-mail, telephone, written and face to face.
* To contribute to reviews and delivery projects.
* Represent team at meetings, which may involve carrying out presentations about the administrative shared support service.

Experience

* Demonstrable evidence of managing a large team in providing a successful service to a range of clients.

* Ability to operatea demanding administrative service.
* Excellent interpersonal and communication skills
* Ability to research, analyse information, interpret and plan
* IT skills
* Close attention to detail and ability to meet tight deadlines in order to deliver an efficient and effective service
* Ability to adapt to changing situations
* Ability to gain the trust and respect of other professionals
