OFFICE ADMINISTRATOR - ENGINEER SUPPORT/PO'S/HR/MEETINGS/EXCEL

Due to the nature of our clients business, this role requires someone with previous experience of working with engineers on an administrative level, rather than typically supporting managers/project managers. You will not be part of an admin/project coordinator team.

This role is a 2 month contract position with the option to go permanent after this time, based full time with a client in High Wycombe.

The successful Office Administrator will facilitate the smooth running of the office, ensuring that facilities, supplies and general services used by engineers/staff are available when required. You will be the local interface for HR, purchasing, and finance functions. You will resolve basic issues yourself and attempt to resolve more complex issues before referring them on.

MAIN RESPONSIBILITIES

- General administrative duties such as handling post, answering phones, preparing documents and spreadsheets, filing, developing new administrative systems, ordering office supplies, organising shipping of goods and keeping general office and kitchen equipment in good working order.
- Arranging general office maintenance and regular safety tests.
- Maintaining some staff records/Administering holiday records.
- Initial processing of sickness forms and travel and expense claims.
- Processing purchase orders; obtain quotes, place orders, log receipt.
- Issuing and keeping trace of access and security passes.
- Assisting in preparation for meetings; setting up of meeting rooms, arranging refreshments, sending out directions.
- Booking venues, travel arrangements, accommodation, and social arrangements as required.
- Maintaining the administrative and facilities information on the site's internal web site, creating new and updating existing information.
- Site health and safety representative. Updating H&S information and records.
- Organising Fire and First Aid training, ensuring first aid boxes contain adequate supplies.
- Maintaining general tidiness of facility and liaising with the office cleaners.
- Buying consumable kitchen supplies.
- Liaising with landlord's representatives.
