BASIC FUNCTION:

Perform advanced business administrative functions and may provide supervision of less than two full time equivalents for clerical personnel. Assist in completion of reports, personnel activities, and other site duties. Make some administrative decisions.

RESPONSIBILITIES:

- Under direction, ensure that the activities of this position and relevant programs are consistent with the mission, vision, and values of Catholic Charities, Diocese of Cleveland.
- May supervise clerical office services, including: typing, reception, duplicating, filing, message delivery, and supplies; may schedule facility conference room as needed.
- May assist in the preparation/assembly of complex and/or confidential reports, annual budgets, proposals and other information as necessary.
- May act as liaison with outside vendors and employees of the Catholic Charities System regarding administrative issues related to purchasing, personnel, training, and operations; supervise receiving and shipping units.
- May coordinate purchase/distribution of office supplies, ordering of business cards, maintenance of photo copying machines and fax machines and other office equipment.
- Analyze, establish, and maintain department file systems and record keeping systems, which may include confidential client information, to assure maximum accountability.
- May maintain and coordinate Information System needs, including maintenance of site equipment.
- Exercise judgment and discretion within established parameters in handling and screening telephone and email communications from persons requesting general program information or other assistance, which may include basic needs assistance.
- May make referrals to internal program areas or external community organizations and include documentation of all inquiries and referrals as appropriate.
- May screen incoming mail, publications, and other correspondence and resolve inquiries. May receive/distribute all mail or packages. May involve heavy telephone contact as needed.
- Perform other duties as assigned or directed.
- Combination of education and experience normally represented by an Associate's Degree or equivalent and 2-4 years of related work experience. Training in office automation and demonstrated keyboard skills.
- Advanced computer experience necessary, especially Microsoft Office, Windows and database management systems.
- Must have competent oral, written, and interpersonal communication skills.
- Must have the ability to prioritize and organize work in a neat, logical, and well-documented manner for self and others.
- Ability to work with diverse client populations, community organizations, as well as staff at all levels.
- Must be able to work with a high level of speed and accuracy.
- Must have excellent organizational skills, strong detail orientation and the ability to maintain confidentiality.
- Knowledgeable of community resources preferred.
