LEASE COORDINATOR

For one of our telecommunication clients are we looking for a Lease Coordinator to work in Oslo - Norway.

JOB DESCRIPTION:

- Collaboration between Build and Operations team to ensure handover.
- Collaboration with finance team
- Handling of contact to main site providers (Telenor) and other 3rd party owners
- Authorized to approve invoices from Site owners regarding site lease rental cost.

OBJECTIVES OF THE JOB (RELATED TO COMPANY´S OBJECTIVES):

CUSTOMER SATISFACTION: Secure customer satisfaction by entering information in to the Lease Management and keep the info updated at all time, for customer reports.

QUALITY ASSURANCE: Provide accurate information to support lease budget and forecasting for the finance team.

RESPECT FOR PEOPLE/INTEGRITY/MANAGEMENT OF PEOPLE:

- Normal working relationship between team members.
- Good communication skills and able to drive task independently to archive targets and deadlines.

COLLABORATION/TEAMWORK: Cross-functional role between Operational team and Build team

SCOPE OF RESPONSIBILITIES:

PRIMARY DUTIES

- Activation of leases and activation letter
- Store letters in Lease Module
- Lease registration in Tarantula Lease module
- Enter lease details from contract
- Owner details, Bank accounts, Payment Conditions, Amounts
- Attachments to be uploaded: Lease, Lease and Payment details, Invoices.
- Settlement letters (Yearly task - Sites not operations)
- Create settlement letter from Tarantula using latest indexation
- Send letters to business partners
- Contact to land/site owners in case of discrepancies in lease and payment details.

SECONDARY DUTIES:

- Receive, review and verify invoices from main site provider and other site owners Site rent (Opex), Upload of invoices to Tarantula (Colo owners).
- Independently communicate with relevant external parties such as Telenor, Norkring, Telia (Netcom), in order to balance the invoices (lease values).
- Ad hoc meetings with business partners and others to clear discrepancies and improve process and communications. Periodically budget reporting to partners and Finance on Opex
- Propose and develop cost reduction opportunities using existing tools such as Tarantula and Tigers

REQUIREMENTS AND KNOWLEDGE:

EDUCATION: Bookkeeping, or admin, (Finance education)

JOB EXPERIENCE:

- Preferable a person with previous admin role,
- Bookkeeping experience (Finance).
- Lease rental management experience
- Site acquisition experience for other projects is preferred but not mandatory

IT EXPERIENCE: MS Windows (Excel), and Finance Tools.

LANGUAGE SKILLS: Strong preference for a Norwegian (Scandinavian) speaker

PERSONAL: Leadership competence, Self driven, proactive

TEAMWORK: Understanding dependencies working in teams

FLEXIBILITY: Task and duties might exceed what is described above. Person must be committed to work extra hours in peak periods in relation to deadlines.

ORGANIZATIONAL SKILLS: Structural person with dedication to details

CUSTOMER ORIENTATION: High Service level required

OTHERS: Analytical skills in relation to suggestion of improvement (Tools and organizational-process), preferred
