Part of the Defence Academy, the Joint Services Command and Staff College (JSCSC) trains the future commanders and staff officers of all three UK Armed Services and those from many countries around the world. We have an excellent opportunity for an enthusiastic Divisional Admin Team Lead to ensure the efficient running of specific areas within the Administration support team
Main duties:
To work unsupervised as required and make sensible judgements in the day to day running of an Administration office.
Ensure smooth running of the office and monitor own workloads and those of any reporting staff.
Responsible for the co-ordination and control of all incoming work as directed by the customer and Team Leader and the provision of induction training for the customer as required.
Responsible for the mentoring, training and development of up to 2 departmental administrators.
Familiarisation of specialist areas where the acquisition of technical knowledge in order to support dedicated customer functions may be required.
Key Responsbilities:
Actively engage with induction processes to ensure the successful completion of own and colleague's probationary periods.
Effective communication with your Serco/Military/Customer colleagues.
Typing, Word Processing, Filing, Photocopying, Scanning and transmission of faxes.
Production, amendment and maintenance of any assigned spreadsheets and databases.
Recording, distribution and despatch of mail.
Arranging appropriate meetings, including drafting agendas, chairing and managing attendance at meetings, active participation at meetings and production of action notes as required.
Liaison with visitors to establish their transport, AV, accommodation, catering needs and subsequent booking of any requirements and arrival on site/to department.
Creation, review and update of any assigned work instructions relevant to your role.
Compilation of detailed Monthly Performance Report allowing the Team leader to write a truly reflective monthly report to the Supervisors/Admin Services Manager
Provide coaching and mentoring to any assigned administrators and management of workload including: Delegating where appropriate, Advising/supporting as needed and auditing that tasks are carried out as required, Allocating work effectively, Providing and acting on feedback (positive and negative).
Awareness and adherence/implementation of all Serco Mandatory Polices as per the Serco management system (SMS), Code of Conduct, Think Privacy and Security Operating Procedures (SyOps).
Skills and Attributes:
Good level of general education, preferably with GCSE's (A-C) or equivalent in English and Maths
Ability to communicate at all levels, using a variety of communication methods (spoken, written, behaviour)
Ability to work in a team environment or individually
Ability to cope under pressure, with conflicting demands of customer and colleagues
Ability to proactively manage departmental workload
Flexibility
Knowledge and Experience:
Previous Administration and/or Secretarial experience - essential
Knowledge/understanding of general office practices - essential
PC literate, with a good level of experience in MS Office including Outlook (essential), Word (essential), Excel (essential), and Power point (desirable).
Ability to demonstrate manipulation of data - essential
Ability to demonstrate electronic calendar management - essential
Ability to demonstrative coaching and mentoring of others - desirable
