SENIOR SPECIALIST I, HR SHARED SERVICES DUTIES INCLUDE:

TEAM MANAGEMENT

- Responsible for the daily management of team members ensuring that the processes they are responsible for are carried out in a timely and accurate way
- Monitor the team workload to ensure the service delivery is optimum
- Coach and mentor team members to help them achieve their goals and produce quality work
- Work with team members on their development: work growth and learning/development opportunities
- Conduct regular 121 with team members to stay up to date with their daily tasks, projects they are working on, challenges they are facing
- Serve as key point of contact for any escalations on questions and issues

ANALYTICS

- Ensure data integrity in systems by conducting regular audits on team members transactions inputted in the various HR systems
- Report on the CRM systems to; analyze the trends in stakeholders queries and work with the team to update the FAQs database; assess the team workload and reallocate the work when needed

PROCESS IMPROVEMENTact as the main point of contact for stakeholders to keep them updated about the delivery of the project

ESCALATIONS & STAKEHOLDERS

- Establish and manage relationship with stakeholders to ensure that reasonable expectations are met.
- Conduct regular catch ups to discuss their business areas and ensure that the team is on track with the service delivery for them.
- Discuss any challenges, process improvements and feedback from and to the team members

NEW COUNTRY SET UP LEAD

- Develop a new country set up process to ensure that the team covers all the key points/actions to ensure the successful set up of new affiliates in a consistent, timely and qualitative manner.
- Provide guidance to team members throughout the set up to ensure that they manage the tasks appropriately and that all aspects of the set up are covered
- Stay up to date with the progress made and act as point of contact for the stakeholders

KPIS

- Work with the team and stakeholders to define and agree KPIs for the work the team is responsible for
- Set up controls to ensure the team is consistently meeting/exceeding the targets
- Identify any potential issues, challenges and propose solutions

SERVICE DELIVERY

- Serves as the escalated liaison between employees and various providers.
- Utilize prior successful experiences in resolving escalated Shared Services requests.

BENEFITS

- Participate in the benefits program reviews by providing analysis of current and potential cost impacts, analysis of department implementation issues, and system testing.
- Ensure employee benefits communications are accurate and delivered on time to employees.
- Participate in any systems related implementations or integrations that affect the benefits system (PeopleSoft and vendors' online benefits systems) including testing and go-live.
- Ensure benefits invoices are reviewed, coded and processed accurately in online accounts payable system.

KNOWLEDGE, EXPERIENCE AND SKILLS:

GENERAL

- Excellent verbal, written, interpersonal and telephone communication skills are required.
- Excellent verbal, written, and interpersonal communication skills are required.
- Requires working knowledge and understanding of HR legislation/employment law, principles, policies, and procedures.
- Must possess ability to present concise and clear presentations to employees.
- With guidance from immediate manager, must be able to identify appropriate actions to take in resolving issues using well-defined HR policies and procedures.

HRIS

- Requires working knowledge and understanding of HRIS systems (PeopleSoft) used by the Company.
- Knowledge of data management and database management processes.

SERVICE DELIVERY

- Strong knowledge of Service Delivery best practices
- Strong knowledge of HR Service Delivery Metrics
- Process design methodology and design
- Knowledge of law relating to data privacy and records management
- Relevant experience in HR/HR Operations and a BA or BS degree
