HR Coordinator (ADP System)

To provide HR Administration and HR generalist services to the business, including Payroll Administration skills and experience, specifically with ADP system.


- Action and monitor all HR administration including generation of contracts/new starter processes and packs, online health assessments, variation letters, reference requests, Contractor and freelancer Agreements, ad hoc letters, leavers processes
- Track and manage processes for end of probationary period, fixed term contracts, maternity leave, paternity leave, sickness certificates.
- Retrieve data from ADP/HR system and create HR reports when requested.
- Manage the various HR schemes, including eye care vouchers, Childcare vouchers, Cycle to work schemes, raising Purchase Orders as appropriate.
- Manage the Quarterly Employee Recognition process including requesting nominations, liaising Winner payments with ADP, preparing certificates and congratulations cards and arranging Red Letter Days Voucher for Going the Extra Mile Award winners.
- Arrange manual payments for any approved payments/loans, including completing Manual Payments Summary Form, liaising with ADP and sending letter of loan terms and payroll deductions to individual
- Take meeting minutes for Employee Consultation Forum (ECF) meeting, collate and prepare ECF Presentation and Agenda, liaising with managers as required and distribute Minutes to ECF reps and managers after meeting within required timescale.
- Raise Purchase orders and manage process as appropriate for recruitment and training

Payroll Administration:
Update the ADP database with change to contracts:

- Enter data such as new starter/bank details on ADP (P45/P46)
- Enter Leavers details on ADP, including checking payments and deductions to be made
- Enter Pensions on ADP
- Overtime administration and uploading onto ADP
- Paternity/Maternity details sent to Perivale HR for payroll processing
- Raise maternity schedules, liaise with ADP, track and check returned schedule
- Ensure payroll deadlines are adhered to.
