Projektbeschreibung

Job Purpose:
To provide HR support to the HR team and employees/managers in the South West region. In addition to this, provide HR projects administration support.

Responsibilities:

Recruitment

-Ensuring recruitment paperwork has all been properly authorised which includes ensuring eligibility to work in the UK has been obtained
-Entering new employee details onto IFS and creating personal files.
-Liaison with Payroll team, including ensuring correct new starter information is passed to Payroll Coordinator or entered onto the payroll spreadsheet so that Payroll are kept up to date on salary and other payroll changes.

Health / Medical

-Keep IFS updated with all sickness records.
-Update medical tracker.
-Liaise with company occupational health for medical referrals.
-Work with HR Advisors to assist with medical cases where necessary (making referrals to the company occupational health provider, checking sick pay status etc).

Management Information System

-Record, maintain & update employee records within the HR database.
-Record, maintain & update employee sickness records within the HR database.
-Assist HR Manager with monthly reports for senior management team/central Infrastructure reporting for the following areas – headcount, absence, turnover, D&G activity, TUPE, overtime & recruitment.
-Assist HR Manager with ad-hoc reporting from the HR database.

HR Processes
-Support HR team in an administration capacity around processes such as:-

oRetirement, including arranging retirement planning courses where necessary.
oMaternity/Paternity
oMilestones
oUBenefits
oJoiners/Leavers
oInduction
oQualification Records
oPDP administration
oInternal moves/change paperwork

Employee Benefits

-As required send out pension packs when requested. Enter new joiners to pension scheme through website and update payroll accordingly.
-Private medical schemes – update/enrol members as necessary and ensure any member details are amended as necessary or lapsed. Send out booklets/enrolment forms where necessary.
-As required send out information to staff on the client Employee Share Plan. Scan applications to the administration company and ensure payroll is updated accordingly.
-As requested by HR Advisor/Manager, facilitate any necessary staff payments through CHAPS/BACS.

Projects

-Administration support with project planning
-Arranging meetings where necessary
-Take active role in ensuring communications are provided through various facilities, ie. Dimensions FAQ page, written letters, emails etc.
-Attend meetings associated with projects as requested by HR Advisor/Manager to record notes.
-Support HR Advisor/Manager with TUPE processes and in particular any due diligence activities.
-Support HR Advisor/Manager with admin support for recruitment, reorganisations, inductions, IFS system set up as required as part of the project.

General

-Working with HR team, produce letters ensuring due process has been followed and appropriate authorisation obtained where appropriate.
-As and where required, produce mail merges for the team.
-Attend meetings, training seminars and presentations as appropriate.
-Assist HR colleagues from central team if required
-Ensure team post is sent out in a timely manner.
-Maintenance of the team electronic filing. Ensure documents are correctly coded and filed accordingly.
-Provide advice to employees on HR processes.
-Keep up to date with procedures.
-Regularly check the HR inbox and action work requests or answer queries as necessary.
-Other adhoc administration requests associated with working as part of a HR team.

PERSON SPECIFICATION

Skills, Qualifications and Experience Required:

Essential: MS Office packages, e.g., Word, Excel, Outlook
Desirable: Previous knowledge of HR processes would be advantageous

Qualifications:
Desirable: Level 3 foundation certificate in HR Practice

Experience:
Essential: Previous office administration experience including mail merge experience.

Desirable: Previous administration experience gained within an HR department.
Desirable: Previous experience of supporting complex HR projects.
Desirable: Previous TUPE administration experience

Considerations / Requirements:
Must be able to obtain appropriate security clearance.
