SPECIFIC JOB DESCRIPTION:
This is a high profile, visible role requiring an experienced professional facilities/office manager to provide day to day operational management and coordination of the client facility, including coordination of environmental, health & safety, security and office management functions.
The key activities and responsibilities of the role are as follows:
Facilities Management Responsibilities
- Manage the local interface with the buildings landlord
- Respond to and coordinate resolution of facility issues
- Coordinate building infrastructure Planned Preventative Maintenance (PPM) and repair activities
- Coordinate facility seating and conference room requirements and allocations
- Manage reception activities
- Management oversight of facility fit out projects & project managers
- Develop and manage facilities budgets and expenditures
- Monitor and/or manage all facility infrastructure related KPI's and SLA's
- Asset management of all non IT related equipment and office furniture
- Coordinate and oversee facility cleaning arrangements
- Event and meeting coordination
- Emergency POC and out of hours' key holder
- Escorting uncleared visitors and contractors
ESH Coordination Responsibilities
- Provide onsite ESH coordination, including coordination of permits to work, risk assessments and method statements and ESH related training
- Conduct ESH and Building induction for new starters
- Emergency response execution
- Appointment/Assign of fire wardens
- Appointment/Assignment of first aiders
- Administer Display Screen Equipment (DSE) assessments
- Driving on Business registration and support coordination
Site Security Representative
- Visitor management
- Site access and badging
- Management of local security systems (entry systems, CCTV, etc)
- Implementation of security policies (storage of classified documents, clear desk, etc)
- Incident management
Accreditor engagement (programme specific)
REQUIRED SKILLS:
- Knowledge of Facilities related practices
