FACILITIES ADMINISTRATOR:

MY CLIENT, A LEADING HEALTHCARE ORGANISATION BASED IN CARDIFF IS URGENTLY SEEKING AN EXPERIENCED ADMINISTRATOR FOR A MINIMUM OF 6 MONTHS. PREVIOUS ADMIN EXPERIENCE IS ESSENTIAL ALONG WITH BEING ADVANCED IN MICROSOFT OFFICE.

THE JOB HOLDER WILL REPORT TO THE FACILITIES LEADER AND PROVIDE FACILITY PLANNING AND ADMINISTRATION CAPABILITIES USING OF COMPUTERISED MAINTENANCE MANAGEMENT SYSTEM (CMMS), PURCHASING SYSTEMS (SSP) AND OTHER ADMINISTRATIVE SYSTEMS REQUIRED TO

ADMIN DUTIES AND REQUIREMENTS:

- Use of a computerised maintenance management system (CMMS) and associated records to plan and schedule maintenance events and provide demonstrable evidence of compliance.
- Ensure on-time delivery through work order management and maintain preventive maintenance routines
- Provide asset management support for the complete life cycle of the site physical assets to meet all regulatory and OEM requirements as well as company safety arrangements.
- Update Routine Maintenance and Service Contract records. Maintain work order doccumentation using field reports from maintenance activities.
- Prepare daily schedule of activities including permits of work ahead of planned maintenance activities.
- Use the CMMS system to produce compliance and KPI reports against facility activities.
- Ensure that the Site Services department's record keeping and document archiving requirements are maintained.
- Prepare work orders for service contractors in advance of planned visits
- Collate information and format CMMS routine reports
- Support audits for safety, quality and financial compliance

KNOWLEDGE SKILLS AND EXPERIENCE

- Have in excess of 5 year's experience in an administration role ideally in maintenance, projects or production engineering environment.
- Ideally have used CMMS tools (such as Sapphire Infor EAM or IBM Maximo) and provided administrative support in a purchasing and/or financial controls function
- Have experience of facilities management, particularly hard FM, or operations management (planning, coordination) gained in a manufacturing environment.
- Have good computer skills including database applications and Microsoft office applications.

The Job holder will be required to work closely with other site functions and require an inclusive team working approach.
