For our client in BASEL we are looking for an EXECUTIVE ASSISTANT/TEAM ASSISTANt for a 6-MONTH project.
DURATION: 2018-01-15 BIS 2018-06-30
LOCATION: BASEL
WORKLOAD: 100% (50% AS EXECUTIVE AND 50% AS TEAM ASSISTANT)
This is an interesting opportunity for all interested in a dual role, supporting both the Admin team as well as the leadership team.
We are looking for a motivated Executive Assistant/Team Assistant to join the GDC office team. You will primarily actively contribute to the Admin Team and provide administrative support to all within the department, eg Research Investigators and Associates. In addition you will support the Basel Leadership Team with a broad range of challenging tasks.
MAJOR ACCOUNTABILITIES:
- Schedule and organize internal and external meetings (ensure date coordination, send invitations, book meeting rooms, order catering, distribute agenda and handout). Schedule videoconferences, teleconferences, telepresence
- Organize travels (flight, accommodation, visa)
- Handle travel expenses, take care of invoices
- Organize visitors programs and candidate interviews
- Give general administrative support and support general project (ie newsletters, social events, etc.)
- Manage calendar(s) independently and efficiently
- Compile data and manage specific data bases
EDUCATION:
Commercial training (eg Swiss Association of Commercial Employees, business school) or other specific qualification with administrative skills and experience (MANDATORY)
EXPERIENCE:
- 5+ years experience as Administrative Assistant
- Track record of successful work within a team (sharing tasks, information and knowledge with other team members)
- Very good IT skills, particularly software such as Outlook, Powerpoint, Excel, Word, OneNote and other business software applications (RDS prime, SharePoint); hardware such as teleconferencing, videoconferencing, beamers
- High level of flexibility: used to multitasking and performing the broad range of administrative tasks: excellent time-management, prioritization and planning skills
- Experienced working in an international environment with a diversity of nationalities
- Excellent communication skills with internal and external stakeholders
- Enthusiastic, dynamic and positive approach
LANGUAGE:
Fluent in oral and written English
German is mandatory
