Executive Assistant to Group Chief Operating Officer.

A new and fantastic opportunity has arisen for an Executive Assistant to provide a first class service our Group Chief Operating Officer. The successful candidate will perform a wide range of administrative, logistical and organisational support duties of a responsible and confidential nature. The roles will involve liaising with colleagues in Europe and South Africa.This role has responsibility for processing personal data as defined by the Company's Data Protection Policy.

Roles & Responsibilities:
Extensive Diary Management, manage cancellations/changes to meetings
Manage the organisation and attendance of meetings
Meeting preparation - create agenda, identify relevant literature eg minutes from last meeting, brief manager
Take minutes during meetings and distribute. Chase actions from minutes.
Arrange hospitality and book appropriate venues and equipment.
Book appropriate travel arrangements
Delegation of actions to relevant parties
Understand high and low priority activities and manage accordingly
Administration
Ensure emails are read and prioritised accordingly.
Take action where required
Where appropriate, authorise documentation as requested
Keep abreast of departmental/divisional activity and specific projects
Understand primary contacts and maintain strong network
Have an understanding of the market and customers relating to the business area they support
Specialist Activity/Project work
Translation of documentation from German to English and vice versa
European Travel is a requirement

Key Requirements:
Demonstrable PA experience at Director level (1-1 or multiple experience)
Extensive diary management
Assertive with a professional approach to all aspects of work
Resilient to change and adaptable to new environments and work activities
Proactive nature
Quick to learn new processes and systems
Microsoft Office - all tools excluding Access, knowledge of SAP would be an advantage
Confidence to work with senior managers
Able to influence and make balanced decisions under pressure
Self motivated to work alone and adaptable to team environments
Planning and Organisation Skills
Ability to prioritise tasks and multi-task
