MAIN FUNCTION

The role holder will be responsible for delivering professional secretarial and administrative support to 3 Directors in Compliance.

MAIN DUTIES

MANAGEMENT SUPPORT 70%

- Managing busy diary, prioritising and scheduling appointments, often at the last minute
- Monitor managers inbox and action as appropriate
- Organising a wide range of meetings, workshops and functions at internal/external venues.
- Logistics for all meetings ie room bookings, VC requirements, both within UK and globally
- Insuring all agenda, packs and materials are complied and printed before meetings, following up on actionable items and ensuring deadlines are met
- Arranging complex global travel, liaising with internal and external contacts for all bookings and meetings.
- Arranging all required Visa and passports; ensuring detailed itineraries are prepared along with briefing packs.
- Attending internal meetings, minute taking and tracking of actions
- Ensure that key stakeholders are kept informed on relevant matters relating to his/her activities.
- Act as receptionist for a wide range of visitors, conveying a professional image at all times.
- Establish & maintain strong relationships with stakeholders and their PAs to ensure positive interactions at all times.

ADMINISTRATIVE SUPPORT 30%

- Create and maintain records and filing systems with the teams which may include confidential/sensitive information.
- Maintaining departmental records, eg employee contact details and email distribution lists
- Processing expenses and arranging payment for invoices
- On boarding new joiners and arranging seating requirements.
- Prepare PowerPoint presentations, Word documents and Excel spreadsheets on projects as required, to a high standard.
- Provide cross-cover for other assistants in the wider team.
- Identify & introduce new practices and procedures to improve the efficiency
- Organise Team events

RISK & CONTROL OBJECTIVE Ensure that all activities and duties are carried out in full compliance with regulatory requirements, Barclays Operational Risk Framework and internal Barclays Policies and Standards.

PERSON REQUIREMENTS

PERSON SPECIFICATION

- Proficient in Outlook, PowerPoint, Word and Excel and comfortable using online tools
- Ability to work quickly and accurately and remain calm under pressure.
- Be proactive and able to take the initiative.
- Able to take ownership of tasks and projects seeing them through to completion.
- Organisational and multi-tasking skills ? ability to prioritise and effectively manage a large volume of requests
- Be resilient, highly organised and able to cope in fast-paced environment being both flexible and able to work across a range of issues.
- Have excellent interpersonal skills.

ESSENTIAL EXPERTISE

- Comprehensive understanding of the objectives and policies of the department including current and future work/projects in order to provide the required high level of support.
- Thorough knowledge of the organisational structure of the Group ie hierarchical structure, locations & key stakeholders.
- Thorough knowledge of locations, personnel, functions and activities of external institutions relating to the work of the area and/or 'specialism ' of the department.
- Previous experience as an Executive Assistant
- Degree or A level (or equivalent) preferred but not essential
- Previous Investment Banking experience desirable
